ROLE PURPOSE: The Procurement Assistant supports the emergency response Supply Chain team by with Gaza Field Office within oPt CO to ensure efficient, transparent, and compliant procurement of goods and services in line with Save the Children International (SCI) policies, procedures, and donor requirements. The role contributes to timely program implementation by providing operational procurement support, maintaining accurate documentation, and upholding SCI’s values and accountability standards. SCOPE OF ROLE: Reports to: Gaza Procurement Officer Staff reporting to this post: None. KEY AREAS OF ACCOUNTABILITY: 1- Procurement & Compliance: Ensure Save the Children procurement policies and procedures are consistently applied in compliance with donor regulations. Support processing of Purchase Requisitions (PRs) by collecting quotations, preparing documentation, tracking orders, and maintaining procurement files. Conduct preliminary compliance checks and prepare competitive bid analyses for review by the Procurement Officer or Supply Chain Coordinator. Apply vendor vetting processes in line with SCI and donor requirements and assist in maintaining the approved supplier database. Participate in emergency or ad-hoc procurement requests as required by operational needs. Report any actual or potential conflicts of interest in accordance with SCI policies. 2- Documentation & Record-Keeping: Maintain complete, accurate, and organized procurement records, including PRs, POs, contracts, invoices, approvals, and bid analyses. Maintain and update procurement tracking tools and systems to ensure proper monitoring, reporting, and compliance with audits. 3- Coordination & Market Support: Participate in market assessments and identify potential vendors. Coordinate timely delivery of goods with suppliers, program teams, and warehouse staff. Assist in organizing supplier meetings, vendor evaluations, and field visits when required. 4- Reporting & Communication: Provide regular updates on procurement status, delays, or risks to the supply chain management and program teams. Communicate effectively with internal and external stakeholders to ensure smooth procurement operations. Participate in internal training sessions to strengthen procurement knowledge and skills. Support onboarding of new staff on procurement procedures and tools when needed. 5- Capacity Building & Knowledge Sharing: Participate in internal training sessions to strengthen procurement knowledge and skills. General: Comply with Save the Children policies and practice with respect to child protection, code of conduct, health and safety, equal opportunities and other relevant policies and procedures. In order to be successful, you will bring/have: QUALIFICATIONS ESSENTIAL: Bachelor’s degree in business administration, Procurement, Supply Chain Management, Logistics, or a related field. EXPERIENCE ESSENTIAL: Minimum 2 years’ experience in procurement with international and local NGOs or humanitarian organizations Proficiency in MS Office applications (Excel, Word). Proficiency in written and spoken English Detail oriented, honest, flexible, hardworking Strong organizational and time management skills. Attention to detail and high level of accuracy in documentation. Good communication and interpersonal skills. Ability to work under pressure and meet deadlines DRSIRED: Procurement system experience Chartered Institute of Procurement & Supply (CIPS UK) or equivalent Experience is an advantage.
