ROLE PROFILE TITLE: Supply Chain Assistant (FOR MYANMAR NATIONAL-INTERNAL STAFF ONLY) TEAM/PROGRAMME: Supply Chain     LOCATION: Magway Number of Position: 1 GRADE: NAT 5      CONTRACT LENGTH: Fixed Term CHILD SAFEGUARDING:       Level 3:  the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the vetting process staff. ROLE PURPOSE: The Supply Chain Assistant is responsible for assisting in the coordination and support of supply chain activities within the area of operations. Supply Chain Assistant will work closely with the Magway supply chain team in terms of every Supply Chain and logistical-related activities like Procurement, Fleet, and Warehousing management. SCOPE OF ROLE: Reports to: Supply Chain Officer Staff reporting to this post: Driver Budget Responsibilities: Nil Role Dimensions: Regular contact of basic factual information Travel: Up to 5 Days Maximum /month KEY AREAS OF ACCOUNTABILITY: Fleet Management •    Responsible for overall fleet management including the management of drivers, fuel management, and vehicle plans in line with the fleet management and road safety procedures. •    Establish and maintain vehicle fleet management routines to ensure that all cars are roadworthy and in good condition •    Execute with precision planned staff movements to ensure effective delivery of fleet services to staff, visitors. •    And others and ensure vehicles are checked against with checklist before leaving to the field . •    Make sure all drivers follow the rules carefully in accordance with the national traffic rules. •    Check all car documents (Insurance, log sheets, Driver regulation, Registration Card, Wheel tax, Fuel book, etc) •    Report any accidents immediately to the Supply Chain Officer and record all the details information •    Develop and maintain an efficient record keeping system for Vehicle Movement, Log Sheets and draft Fleet, Fuel balance report. •    Facilitate and ensure adherence to fleet maintenance schedules with suitable authorized repair workshops •    Secure and provide adequate maintenance to SCI owned or rental vehicles, generators and security implements. •    Ensure all SCI staff understand and comply with SCI fleet guidelines and procedures by conducting briefing to follow the security measures strictly stock. •    To prepare weekly data validation and submit to the country office fleet focal. •    Review and manage fleet system reports and provide guidance to the drivers by conducting the monthly driver meeting. Warehouse Management •    Responsible for Establishing a good warehousing /stock control system (both medical and nonmedical items) consistent with SCI Warehouse and inventory management procedures.  •    Receive, control and record all incoming / outgoing goods from /to SCI warehouse •    Ensure that stock cards, bin cards, and related stock reports at the SCI Warehouse are properly updated. •    Supervise daily laborers for repacking of medical and non-medical supplies as per SCI standard protocols. •    Carry out monthly stock count accurately and report any discrepancies occurred •    Update warehouse records and develop draft monthly warehouse report and submit to Supply Chain Officer for review and onward submission •    Share the weekly stock report to respective program focal •    Ensure accurate and timely data entry in the TIM for transactions of GR, SR, Recode, Adjustment and Transfer.   Procurement •    Assist collection of quotations, Ordering, Good Receiving or Service Completion under the supervision of Supply Chain Officer •    Ensure all the procurement stages and payment claiming process are in accordance with SCI and Donor’s Guidelines  •    Assist Supply Chain Officer in New FWA (Fixed and Non-Fixed) setting for area level. Other Responsibilities  •    All the documentation must be recorded in (Soft and Hard) Copies and always be traceable for the purpose of future audit trail  •    Other Tasks assigned by Line Manager due to Urgency and Necessity Safeguarding and Counter Fraud Responsibility  •    Ensure that all beneficiaries and suppliers of your program are receiving ongoing, age-appropriate verbal or written information in relevant languages about Save the Children’s Child Safeguarding Policy and Code of Conduct. •    Take all necessary and appropriate steps to prevent fraud, bribery, and corruption within their areas of responsibility, report and respond to all incidents and concerns and comply with the Counter-Fraud, Bribery and Corruption Policy and Procedure. All types of fraud, bribery, and corruption must be prevented, including where it benefits the organisation (SCI). Integrity: •    Honest, encourages openness and transparency; demonstrates highest levels of integrity •    Always acts in the best interests of children QUALIFICATIONS   Person specifications  •    Familiar with Local Context (Mon/ Kayin State) – Preferable Competency  •    Can Speak Local Language (Kayin) – Preferable Competency  •    Bachelor’s degree or equivalent level of work experience. •    A minimum of 1 years experiences in an Supply Chain and Logistics Role.  •    Computer literacy and Solid Experience in Microsoft Office Suite, supply chain system. •    Experience of managing a complex filing system: both paper and electronic.  •    Good teamwork & communication skills  •    Adaptability, Flexibility and Resilience on the Dynamic Changes of the Working Environments and Pressure  •    A good level of spoken and written English  •    Experience in Emergency supply chain and Humanitarian Response  •    Commitment to and understanding of Save the Children’s aims values and principles.  Additional job responsibilities The duties and responsibilities as set out above are not exhaustive and the role holder may be required to carry out additional duties within reasonableness of their level of skills and experience.
