JOB SUMMARY: Our Company seeks a supply Chain Specialist with a focus in the area’s logistics, expediting, and compliance. The supply chain specialist will be following up on open PO’s, Deliveries, Logistics Coordination, Consolidations, Cost reduction and savings, customs related, No Match, NCR’s, etc. The individual shall work within the Procurement team and back-to-back logistics team to ensure the fulfilment of the requisitions for goods and services along the entire Supply chain, from the requirements to delivery.
ESSENTIAL DUTIES AND RESPONSIBILITIES: include but are not limited to the following activities:
- The Supply Chain Specialist needs to ensure that the EE Policies, Procedures, and Processes are implemented, enforced, and, when applicable, developed and improved.
- Monitor and optimize total costs while respecting the goods or service requirements and delivery criteria.
- Monitor and respond promptly to all incoming communications from both internal and external business partners.
- Maintain day-to-day relations with the internal clients on Supply Chain related topics.
- Review and monitor performance against back log open PO’s, Cargo In transit, No Match, Compliance records.
- Expedite/coordinate and monitor delivery progress of goods and services as required and resolve anomalies as applicable.
- Onward shipping to vessel destination in conjunction with in-house/external logistics/shipping agents.
- Review and attentively monitor and enforce compliance of all internal clients and stakeholders with procedures, suggesting procedural improvements to his/her manager.
- Demonstrate the ability to locate all relevant health, safety, environmental and quality procedures at their worksite.
- Demonstrate the ability to identify different areas in the workplace, the risks associated with each and a basic understanding of the regulations.
- Acting as Logistic coordinator back up for logistic team.
- The individual has the duty to care for their own health and of others affected by their actions at work.
- Track and follow-up on logistics budget.
- Support on the local WH and Inventory tracker.
- Understanding of Logistics principals (Incoterm, Shipping & Inventory Handling).
- Make reception on open PO’s in NS after delivery confirmation of goods and attached the supporting documents (This is being done by the logistic team).
- Verify PO reception by the (3-way & 2-way match).
- Track the Logistic Budget and keep a good overall on the logistic cost and cost reductions opportunities.
- Assist the logistic and procurement dept. to follow up on the OS&D process (Overage, shortage, or Damage).
- Cargo reception & verification – Line-item check, Material receipt (with Freight forwards).
- Open & keep compliance folders for shipments regarding each PO (with AWB / B/L – POD – Invoices – Packing list and all details).
- Monthly KPI’s on the performance of back log open PO’s.
- Materials transfer outgoing from the vessels follow up.
- Service report and DN receptions and follow up.
- Shipping documents verification - – AWB, Commercial Invoice (Serial / Part number(s), HTS code & license).
- Cargo Consolidation – Nature of material, importance, and urgency for OPS.
- Cargo Identification/Labeling & Packing for exportation / importation.
- Departure, Arrival and delivery notification and confirmation.
- Port Calls Logistic and Tracking (PO Process and POD Follow UP).
- Qualify the expressed needs and handle problems related to logistics flows in conjunction with the supervisor, implement corrective actions and decide to change the delivery method, if necessary.
- Keep vessel Capt / Master & VSI informed of the delivery status at all stages of the Supply Chain process and in particular about delivery dates, receipt status, onward shipping plans and ultimate forecasted delivery dates.
- Facilitate liaison between Suppliers/Agents and Finance & Accounting.
- When applicable, supervise and control agents’ invoices, validate incidental expenses on invoices and pass them to AP/Finance for authorization of payment.
- Reception of goods / PO in NSE.
- Follow up on MRBR Report – GR reception to avoid No Match.
- Blockchain Invoices being reviewed in the AP Application for AP to be proper coding.
Daily Main Task & Responsibilities:
- Review all emails.
- Follow up on shipments that have come during the weekend and every night / track & trace.
- Open PO follows up with vendors by pulling out reports from SAP per vessel and start sending notification to vendors to confirm delivery date. And of the ones that we know that have been shipped already make the reception in the systems (GR)
- Accrual of Invoices through the AP APP with the proper project/cost coding.
TRAVEL REQUIRED: Approximately 30%.
WORK AUTHORIZATION: Candidates must be authorized to work in assigned location.
REQUIREMENTS
- Significant knowledge and experience in the Supply chain area especially logistics and International Trade.
- 7+ years’ experience in supply chain / logistics (global logistics).
- Understanding the handling of Dangerous goods material.
- Degree in Supply Chain, Business Administration, or related discipline from two-year college or university preferred.
- Strong customer service orientation. Willing to take initiative.
- Strong written and verbal communications.
- Exemplary interpersonal skills.
- Able to work in fast-paced environment, multi-tasking.
- Understanding of Logistic Budget & Tracking.
- Understanding of INCOTERMS, Custom Regimen & Import Procedures and requirements.
TECHNICAL QUALIFICATIONS:
- Strong MS Office skills with Excel, Power Point, Outlook, and Word.
- Good Knowledge in Supply chain information systems (ERP).
