Responsibilities

PURPOSE OF THE POST:

The Support Officer - Personal Assistant to the Deputy Executive Director of the Governance Directorate is responsible for carrying out and managing administrative functions and for providing general support to the Deputy Executive Director Governance Directorate.

2. FUNCTIONS AND DUTIES

The incumbent carries out the following main functions and duties:

  • Ensure efficient circulation of documentation to and from the Deputy Executive Director’s Office;
  • Monitor and track commitments, actions items, tasks and deadlines on behalf of the Deputy Executive Director;
  • Create and assemble meeting folders for the Deputy Executive Director, including indexes and content related documentation;
  • Assist in the preparation of meetings for the Deputy Executive Director;
  • Prepare and draft correspondence on behalf of the Deputy Executive Director;
  • Manage the Deputy Executive Director’s calendar, coordinating commitments within the organization and with external stakeholders;
  • Handle all administrative aspects of business travels, including logistics, documentation and settlements;
  • Prepare reports and analyses related to the Directorate’s activities;
  • Maintain and archive files in the Document Management System (DMS) of Europol and in hard-copy format;
  • Execute ad hoc tasks as assigned by the Deputy Executive Director;
  • Work with other Assistants in the Directorate to ensure alignment and, consistency and optimal information flow;
  • Support the work of the Secretariat of the Governance Management Office as required;
  • Perform any other duties in the area of competence as assigned by the line management.
