MAIN ACCOUNTABILITIES

Main activities:

  • Maintain and update Verisae (Company Facilities Management database) Identify areas that require improvement and updating.
  • Effectively manage the Support Services email inbox and ensure its function is utilized correctly. Ensure other members of the team understand how issues should be dealt with.
  • Run Daily Valeting reports to support the Valeting team when needed. Either manually or via Cognos.
  • Looking for new ways to streamline processes and improve efficiency
  • Manage the Premoni Document Checker portal and oversee the process for measuring company Compliance PPMs. Assist the Head of Support Services to develop effective ways of reporting*
  • Oversee the site damage reporting log for the network
  • Develop a way of managing and tracking the water leak audit findings. Liaising with Steve & Malcolm Barrington & Stuart Newbury as required.
  • Review non-contract reactive maintenance work orders for cost savings
  • Respond to contractor queries and assist with invoicing processes
  • Set up new Internal & External contractors and identify gaps in ARM training
  • Assist other members of the Support Services & Infrastructure team as required
  • Maintain Site Records, use of Horizon and site files
  • Conduct contractor reviews and be involved: Churches, Chubb, Kings, ADT & drainage
  • Introduction of Compliance PPM KPIs into all contractor reviews*

KNOWLEDGE & SKILLS REQUIRED

  • An basic knowledge of the workings of a petrol station forecourt but not essential
  • Previous experience of VX Maintain or a similar Facilities Management database an advantage but not essential
  • Effective communication skills; verbal, electronic and written
  • Highly computer literate with excellent working knowledge of Microsoft Office programmes, especially Excel
  • Excellent organisational skills with the ability to prioritise tasks and to work to deadlines
  • Willing to learn and develop new procedures and protocols on existing Facilities Management Software
  • Ability to achieve targets whilst maintaining accuracy
  • Ability to develop positive working relationships with colleagues and external contacts
  • Rational decision making and judgement

    Pay: £28,000.00-£32,000.00 per year

Responsibilities

The Support Services Maintenance Co-ordinator is responsible for the day-to-day operation of the company’s Facilities Maintenance System and essential support services functions.
Reporting to the Head of Support Services, they will be required to prepare and review spread sheets, reports and correspondence in order to maintain schedules and portals to assist the Support Services, Drainage, Infrastructure and Valeting teams where needed.
