The Behavioral Health Urgent Care Support Staff is responsible providing administrative and clerical support within an urgent care health setting, often focusing on patient intake, scheduling, record management with knowledge of electronic health records, and communication. Work cooperatively with other departments and outside agencies. Regular working hours are 8:30am to 12:00 midnight Monday through Thursday, Fridays from 8:30am to 11:00pm, and some Saturdays from 9:00am to 2:00pm. Hours are based on program needs. As a Support Staff, you will be responsible for the following: Serves as office receptionist Answer telephone, record and distribute messages as appropriate Knowledge of office methods, procedures, and equipment and business writing. Reviews, evaluate, verifies, and enters admission documents and information into the electronic health record system (EHR). Attend unit meetings, take notes, type and distribute them as assigned. Coordinate and order office supplies for the unit. Gather client information and fees as needed and identify insurance changes. Maintain clinicians’ appointment book. Opening clinical records. Organize intake list, receive new clients, distribute forms to be completed and communicate with Central Access Unit regarding client status. Schedule all client appointments in combination with clinical staff and CAU. Scheduling psychiatric appointments and assessments as needed. Track various data for programming needs and maintain data in binders/spreadsheets. Prepare and send letters as requested. Assist in organizing program needs Email/communicate any incident reports to QI and related team member and maintain binder. Prepare programming documents for staff. General secretarial duties including but not limited to typing, copying and filing as requested and as necessary. Verify Medicaid and other insurance information each month. Complete a change form, copy new insurance and, and submit information to Financial Support Staff person when necessary. Work in coordination with other support, case management and clinical staff. Complete 24 hours of program and or position specific training annually. Other duties as required. Requirements To qualify for this position, you will need the following: High School diploma with a minimum of 2 years clerical/reception experience; proficiency in a variety of computer programs, especially work processing software, and dedicated software systems; excellent written, verbal, communication, organizational and multi-tasking skills. Must be able to attend to details, track and prepare data accurately and in a timely way. Needs the ability to interpret a variety of instructions furnished in writing, or orally.
