Administrative Assistant – Addiction & Mental Health Clinic

Nurture North Addiction Clinic | Northwood Recovery

Job Summary

Nurture North Addiction Clinic, a Northwood Recovery clinic, is growing — and we are looking for the right person to grow with us.

We are seeking a compassionate, motivated, highly organized, and dependable Administrative Assistant who has a genuine heart for addiction and mental health medicine.

This is much more than a traditional administrative position. Our ideal candidate is someone who can multitask, take initiative, work cooperatively as part of a team, and help create a welcoming and supportive environment for our clients. We are looking for someone who wants to contribute to the continued growth and success of our clinic and who takes pride in being part of the care we provide.

Our clinic works with both in-house and virtual physicians, and the successful candidate must be comfortable working in a fast-paced healthcare environment where priorities can change throughout the day.

You will often be the first person our clients see or speak with. Compassion, professionalism, patience, confidentiality, and a non-judgmental approach are essential.

Wage: To be negotiated based on experience.

Responsibilities

  • Manage front-desk operations, including greeting clients, visitors, community partners, and healthcare professionals in a welcoming and professional manner.
  • Answer and manage a multi-line phone system while responding to client inquiries with compassion, discretion, and professionalism.
  • Assist with the day-to-day coordination of both in-house and virtual physicians, including appointment scheduling and supporting efficient patient flow.
  • Perform accurate and timely data entry using , Google Workspace, electronic medical records, OTN, VSee and other clinic systems.
  • Maintain organized physical and electronic records while adhering to privacy and confidentiality requirements.
  • Prepare correspondence, generate reports, and maintain client and administrative databases.
  • Coordinate appointments, staff schedules, meetings, and other clinic activities.
  • Work closely and cooperatively with other clinic administrative staff, physicians, management, pharmacies, community agencies, and other healthcare partners.
  • Be comfortable handling and processing urine drug screening samples in accordance with clinic policies and procedures.
  • Be comfortable handling and processing point of care screening samples in accordance with clinic policies and procedures.
  • Familiar with Hep C screening, and testing.
  • Assist with bookkeeping, office supply management, inventory, filing, scanning, faxing, and other administrative duties.
  • Help maintain a clean, organized, professional, and welcoming clinic environment.
  • Assist with community outreach and building relationships with pharmacies, healthcare providers, community organizations, and other referral partners.
  • Take initiative in identifying ways to improve clinic operations, client experience, organization, and workflow.
  • Actively contribute to the growth and development of Nurture North Addiction Clinic.
  • Complete additional duties as required to support the clinic, clients, and team.

Qualifications

  • Previous administrative, reception, medical office, or office-support experience is preferred.
  • Experience in an addiction, mental health, medical, or community healthcare environment is considered a strong asset.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
  • Experience with Google Workspace and strong general computer skills.
  • Experience with QuickBooks or similar bookkeeping software is an asset.
  • Strong typing, data-entry, organizational, and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently while also functioning effectively as part of a team.
  • Comfortable handling urine drug screening samples as part of routine clinic procedures.
  • Ability to maintain confidentiality and appropriately handle sensitive personal health information.
  • Experience working with Indigenous clients, families, or communities is considered a strong asset.
  • Knowledge and understanding of Indigenous cultures, histories, cultural safety, and the impacts of intergenerational trauma is considered an asset.
