KEY ACCOUNTABILITIES

  • Reception duties including answering of telephone calls and providing information to clients and lawyers on the phone and/or in person regarding legal aid processes and/or the status of their file.
  • Greet and welcome clients and visitors in a friendly and professional manner
  • Assisting clients in accepting, scanning and uploading any documents required for their files.
  • Scan consent and declaration forms and attach to client file in the PeopleSoft system.
  • Check fax drive and General e mail box and triage all incoming documents appropriately.
  • Scan and attach correspondence to existing client files in PeopleSoft and triage to the appropriate department.
  • Fax correspondences to counsel and clients if required.
  • Responsible for ordering of any office supplies.
  • Responsible for contacting the property manager when maintenance requests are required for the office.
  • Handle all incoming and outgoing Purolator shipments
  • Additional, specific duties as outlined by Manager

REQUIRED SKILLS & EXPERIENCE

  • Experience in an office environment and proven ability to deal effectively with clients on the phone and in-person.
  • Sound organizational skills to ensure the accuracy of information and to maintain control of a variety administrative of tasks.
  • Intermediate level skill in Microsoft Word and Excel and the ability to enter and retrieve information in a client service computer application (Peoplesoft)
  • Accurate typing skills and the ability to work with minimal supervision
  • The ability to multi-task and to work well under pressure

Education & Job Knowledge:

  • Knowledge of court procedures, duty counsel policies and LAO’s policies and procedures is an asset
  • Good knowledge of community based services available to clients
