Description

PRIMARY FUNCTION: As a Project Coordinator for SCCPSS, you will play a vital role in managing and coordinating various capital projects across the district’s K-12 educational facilities. Your responsibilities will include assisting project managers, coordinating with vendors and subcontractors, and overseeing the procurement, installation, and maintenance of Furniture, Fixtures, and Equipment (FFE). This position is critical in ensuring that projects are completed on time, within budget, and to the district’s high standards.

REQUIREMENTS:

  • Education Level: Bachelor’s degree in business administration, Facilities Management, or a related field.
  • Experience, Skill, and Certification:
  • Minimum of 3 years of experience in project coordination, procurement, facilities management, or a related field, with demonstrated competence in managing projects independently.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to build relationships and collaborate effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and experience with project management and inventory management software systems.
  • Knowledge of relevant safety regulations and standards governing project execution and FFE procurement and installation.
  • Eligible for educational support license.
  • Eligible for Georgia Professional Standards Support Certificate.

Responsibilities

ESSENTIAL DUTIES:

  1. Project Management Support:
  • Assist project managers in planning, executing, and finalizing projects according to strict deadlines and within budget.
  • Facilitate communication and coordination between project teams, vendors, and subcontractors.
  • Monitor the progress of projects, ensuring all tasks are completed on schedule.
  1. Procurement Management (FFE):
  • Conduct comprehensive procurement activities for FFE items, including researching vendors, obtaining quotes, negotiating contracts, and ensuring compliance with procurement policies and regulations.
  • Coordinate with vendors and subcontractors to ensure timely delivery and receipt of FFE products.
  • Maintain accurate documentation of all FFE procurement transactions and activities.
  1. Installation and Maintenance (FFE):
  • Coordinate the delivery, installation, and setup of FFE items, working closely with vendors, contractors, and internal maintenance teams.
  • Develop and implement preventive maintenance schedules to prolong the lifespan of FFE assets.
  1. Inventory Management (FFE):
  • Establish and maintain accurate inventories of all FFE items within the district, utilizing inventory management software systems to track asset location, condition, and depreciation.
  1. Budget Oversight:
  • Assist in managing project budgets, forecasting expenditures, monitoring spending, and identifying cost-saving opportunities.
  • Ensure adherence to budgetary constraints throughout project execution.
  1. Stakeholder Engagement:
  • Collaborate with school administrators, faculty, and staff to understand their project and FFE needs and preferences.
  • Provide expert guidance and recommendations to support educational objectives.
  1. Compliance and Safety:
  • Ensure compliance with relevant safety regulations and standards for all project-related activities and FFE items.
  • Conduct periodic inspections and address any hazards or deficiencies.
  1. Vendor Relations:
  • Cultivate and maintain productive relationships with vendors, contractors, and suppliers.
  • Ensure seamless communication and resolve any issues or disputes that may arise.
  1. Reporting and Analysis:
  • Generate regular reports and analytics on project progress, FFE expenditures, utilization rates, and performance metrics.
  • Provide insights to inform decision-making processes.
  1. Coordination and Logistics (FFE):
  • Assist in coordinating logistics for the timely delivery and installation of FFE items.
  • Ensure all details are recorded accurately, including delivery schedules, installation timelines, and any issues encountered during the process.
