Description:
Position Overview:
We are seeking an experienced Systems Analyst to oversee and optimize our suite of software systems, with a primary focus on managing the CRM Xplor (Perfect Mind) in its final phase of implementation. This role is part technical project manager, part educator, part administrator, and part Xplor (Perfect Mind) analyst. He/she/they are responsible for the day-to-day configuration, support, maintenance, and improvement of JCC of Greater Vancouver’s system. This role will ensure the CRM system is managed in a way that facilitates program delivery, improved customer experience, and internal data management and reporting needs. This role will also support additional SaaS platforms, including eTapestry, Keyscan VII, and Sage 300. This role offers multiple opportunities for a professional who enjoys using their analytic, customer service, and problem-solving skills. The ideal candidate will be skilled in software configuration, reporting, and data integration, with the ability to develop and maintain API integrations to connect Xplor (Perfect Mind) to our other systems. Collaborating closely with various departments, the Administrator will support the identification and development of new business processes. He/she/they will also refine processes over time.
Responsibilities:
- CRM and Systems Management:
- Serve as the primary administrator for Xplor, handling day-to-day management, user maintenance, configuration, and updates.
- Configure system settings, create custom reports, and make necessary adjustments within Xplor to support organizational needs.
- Automates processes using Xplor tools
- Trains new users and grows Xplor skill set across the organization.
- Ensure the health of additional SaaS systems, including eTapestry, Keyscan VII, and Sage 300.
- Responsible for PCI compliance
- Data Integration and API Management:
- Design and develop API integrations between Xplor and other software platforms to streamline data flow and improve system interoperability.
- Ensure data accuracy, security, and accessibility across integrated systems.
- Document integration processes and troubleshoot integration issues as they arise.
- Technical Support and Training:
- Provide support and training to staff on system features and usage.
- Collaborate with teams to assess software needs and enhance system functionality based on feedback.
- Coordinates maintenance and support of existing applications including direct end user support, testing and verification of bugs, managing bug fixes, updating training materials, retraining, identifying, and defining enhancements end user customer demonstrations and end user customer training.
- Collaboration with third party providers
- Reporting and Data Analysis:
- Create and manage custom reports in Xplor and other systems to facilitate data-driven decision-making.
- Generate insights from data and support staff in accessing and interpreting reports.
- Works to standardize Data across the organization to ensure accurate reporting.
- Project Management:
- Work with internal stakeholders to scope, plan, and execute system upgrades or new implementations as needed.
- Liaise with vendors for troubleshooting, support, and updates.
Qualifications:
- Bachelor’s degree in Information Technology, Computer Science, or a related field.
- Minimum 3 years of experience in systems administration or software management, ideally with CRM and SaaS platforms.
- Experience with API development and data integration.
- Proficiency in managing and configuring SaaS platforms; experience with Xplor, eTapestry, Keyscan VII, or Sage 300 is an asset.
- Strong analytical skills and experience with report creation.
- Excellent troubleshooting and problem-solving abilities.
- Strong communication skills and the ability to work with diverse teams.
- Demonstrated work in process improvement and software implementation is preferred
- A strong understanding of financial terminology and the ability to proactively assess and support the operational needs of the accounting department and other departments across the JCC are considered valuable assets for this role.
Preferred Skills:
- Knowledge of database management and querying (e.g., SQL).
- Experience in a non-profit environment is a plus.
This is a new position to the JCC and the role may evolve over time. Additional duties and responsibilities may be added or adjusted.
Salary Range: $65,000-$80,000 annually commensurate with education and experience
Potential Start Date: Mid-February
