We are continuing to grow and need a Systems & Data Coordinator to join our team at our main facility in Vaughan (Concord), Ontario.
Reporting to the Manager, Strategy & Business Transformation, the Systems & Data Coordinator is responsible for supporting operational systems and digital tools that enable efficient business operations. This role plays a vital part in maintaining data accuracy, user access management, and helping business units with reports and data-driven tasks. It is ideal for individuals looking to grow their skills in digital systems, analytics, and continuous improvement within a collaborative and fast-paced environment.

KEY ACCOUNTABILITIES:

  • Provide hands-on coordination and support for various operational systems, including account setups, access management, and user issue resolution.
  • Assist with data quality assurance across platforms to support business insights and performance.
  • Create and support basic reports and dashboards using tools like Excel and Power BI.
  • Support the onboarding and system use training of staff, maintaining how-to documentation and user guides.
  • Schedule system-related meetings and training sessions; track action items and document outcomes.
  • Collaborate with cross-functional teams on projects related to digital transformation and business improvements.

REQUIREMENTS:

  • Proven experience in data analysis or coordination roles.
  • Post-secondary diploma or degree in business, IT, data analytics, or related field
  • Strong Microsoft Excel skills (Power BI or other reporting tools are an asset)
  • Demonstrated interest in digital systems, data analysis, or operational improvement
  • Excellent interpersonal skills and ability to work with diverse teams
Responsibilities

System Support

  • Set up and maintain user accounts and permissions in systems aligned with security and compliance standards.
  • Coordinate issue resolution with internal users and external vendors.
  • Document system usage procedures and maintain internal system logs.

Data Handling & Reporting

  • Support departments with ad hoc data requests and routine reporting needs.
  • Assist in the development of data visualizations and simple dashboards.
  • Monitor data integrity and accuracy across systems.

User Support & Training

  • Help train new users and offer first-level support for systems like Geotab, CRM, and ERP.
  • Develop and maintain user-friendly guides and FAQs.
  • Log and escalate system issues to appropriate team members.

Administrative Coordination

  • Organize system training and improvement meetings.
  • Maintain records of user activity, requests, and resolutions.
  • Contribute to improvement projects and digital initiatives.
