This position is part of Novanta’s Corporate and Shared Services global teams. Novanta’s Corporate and Shared Services teams play an important role in executing the company’s strategic mission and operations. Included in Corporate and Shared Services are the business functions including Finance, Accounting, Human Resources, Information Technology, Legal, Compliance, Corporate Development and Corporate Marketing. The Corporate and Shared Services teams work closely with all Novanta business units to support operating initiatives contributing to the organization’s financial success.
Job Summary
The HR & Talent Acquisition Administrator is an integral role supporting the HR, Talent Acquisition and Training functions, and contributing to the overall success of the team at the Stockport site by providing a high-level candidate and customer experience, administrative support, and delivering operational excellence to the organization.

Primary Responsibilities

  • Supports the Talent Acquisition Partner with job postings on career sites, scheduling complex interviews and the talent assessment centre while providing an excellent candidate experience. Interviews include phone, videoconferencing (MS Teams), onsite interviews, and travel (when needed).
  • Supports data entry in the HRIS System (Workday) including the creation of job requisitions, new hire transactions and employee record changes.
  • Supports HR Team with the administration of employment contracts, pre-boarding, onboarding and new hire orientation activities.
  • Organize and maintain employee files as needed.
  • Ensures the data integrity of employees and organization information entered in the Workday system is accurate and timely.
  • Attend all required HR confidentiality, compliance, and systems training.
  • Supports the offer letter and employment contract process.
  • Supports special Talent Acquisition projects and programs including community partnerships, in-person recruiting events and the college and university program.
  • Prepares and distributes metrics reporting.
  • Manage on-line resume database to ensure applicant information is current to include: complete applications, background information, identification details, etc.
  • Plans and organizes meetings and special events, including scheduling, sending reminders, and organizing catering when necessary
  • Uses various software, including word processing, spreadsheets, and presentation software, to prepare reports and/or special projects.

Required Experience, Education, Skills and Competencies

  • Minimum 3 years of experience in Human Resources/Talent Acquisition coordination experience.
  • High school diploma or equivalent certification.
  • Demonstrated ability to communicate effectively, including a proficiency in clear, concise, and compelling oral and written communication.
  • Being an ambassador in the candidate experience.
  • Experience utilizing Microsoft Office products (MS Word, Excel, Teams and Outlook) specifically scheduling meetings. Experience working in a HRIS and/or ATS – preferably Workday.
  • Must be able to work independently, with limited or no supervision at times.
  • Proven ability to take initiative and build positive and productive personal & professional relationships.
  • Ability to interact with multiple levels of leadership in a professional manner.
  • Demonstrated ability to maintain confidential and sensitive information.
  • Ability to multi-task in a rapidly changing work environment effectively balancing and prioritizing multiple projects.
  • Demonstrated problem solving and decision making skills.
  • Ability to work as a team player.
  • Ability to support the assessment centre as needed 1 Saturday per month.

Travel Requirements

  • Limited travel expected, less than 10%.
