Shared Services:
A Shared Service Provider to both UK Life Branch (Life Reinsurance provider) and Great Lakes Insurance SE (specialty provider of primary insurance services in the UK).
Key services that are provided include: Accounting/Finance/Tax; HR; Facilities Management; Procurement; Internal Audit: Legal and Data Protection. In addition, the responsibility for managing and servicing the Leases on behalf of the relevant London Business Units.

About the role:
This role supports the regional Talent Management and Development team (TM&D). The TM&D Coordinator is an integral role, working alongside an ambitious, collaborative and outcomes driven TM&D team.
TM&D collaborate closely with key partners across a range of different businesses to help drive and support their business strategies. We actively coordinate our key talent within the region and provide opportunities and career development initiatives for employees.
The TM&D Coordinator will provide administrative and coordinative support to the TM&D Team and collaborate closely with the Associate TM&D Partner. They will provide administrative support for some local and regional TM&D initiatives and projects, working closely with HR and TM&D colleagues as well as key partners at all levels.

Key Responsibilities:

  • Processes/Systems - Review existing TM&D processes and suggest ideas for efficiency and improvements. Ensure the TM&D SharePoint is kept up to date and in line with Data Protection requirements.
  • Invoices/Expenses/Contracts - First point of contact for invoices, expenses, recharges and contracts for the MRUKS TM&D team, working closely with TM&D Partners. Managing administration of the Coupa system (raising purchase orders for upcoming workshops)
  • HR IT Systems (Learning & Talent Management) Play a pivotal role in the preparation, testing, and daily management of our new systems
  • Reporting – run regular reports on TM&D activity and ad hoc requests as required i.e. LinkedIn Learning, annual metrics etc
  • TM&D Intranet – Work with Associate TM&D Partner to ensure the Intranet pages remain up to date and relevant
  • Professional Qualifications – managing all administration relating to professional qualifications progression, including managing tracker, managing egress platform for actuarial exams, sharing results with relevant HRBP’s and Senior Leaders, processing salary increases and working with HR Ops to ensure written confirmation is issued
  • Munich Re Academy - support the roll-out of the new Munich Re Academy in the Europe & Latin America region, collaborating with both global and local teams to tailor the Academy’s development offerings.

MRUKS/Regional Workshop Coordination:

  • Organise all regional and local workshops as required
  • Book venues/meeting rooms for in-person training and attend in person to assist trainers with setting up
  • Liaise with external vendors to discuss needs for training
  • Manage sign-up, handle invitations (including joining instructions for virtual sessions), coordinate pre-work, distribute follow-up materials and feedback via the online survey
  • Run all psychometrics and diagnostics administration i.e. Insights
  • Monitor workshop tracker including attendance and waitlist for future sessions
  • Share attendance lists with facilitators ahead of workshops
  • Manage costs ahead of all workshops taking place
  • Monitor and respond to the TM&D inbox
  • Manage invoice tracker, adding all invoices and expenses that have been submitted/approved

Supporting Regional TM&D Team:

  • Administration support on local/regional/global projects as required
  • Reviewing attendance of compulsory workshops and sharing data with relevant TM&D Partners
  • Organise and facilitate TM&D monthly meetings

  • Previous experience within an Administration/Coordination role
  • Excellent organisation skills and attention to detail
