REQUIREMENTS

  • 2+ years of experience in a CPA or tax office (seasonal experience counts)
  • Prior work as a tax assistant or in tax preparer support preferred
  • Familiarity with QuickBooks (proficiency with reconciliations a plus)
  • Familiarity with tax software (Lacerte, Drake, UltraTax, or similar) and workflow tools (Karbon) a plus.
  • Proficiency in Excel/Word and digital document handling
  • Personality fit: thrives on lists, deadlines, high-volume workflow, and documenting every step
  • This is an in-person position in our Maui office. Remote applicants will not be considered.
  • Experience in another professional office setting will also be considered if the skills are transferable.

Responsibilities

ABOUT THE ROLE

We are seeking a Tax Processor & Accounting Coordinator to manage tax return processing, coordinate workflow, and support client projects in an organized, modern, software-driven CPA firm. This is a hands-on role: you will work extensively with accounting and tax software to process client documents, track missing information, assemble and deliver returns, prepare billing, and keep the workflow updated.
In addition, you’ll help maintain smooth operations by keeping projects on track in our workflow system, supporting accounting assignments, and communicating with clients when information is missing. This position is ideal for someone who finds satisfaction in accurate, detail-oriented work and the reward of seeing projects completed cleanly and on time.
The role has a natural rhythm: a busy spring season with assistant support, followed by a steady balance of accounting projects, workflow improvements and client coordination during the rest of the year.

WHAT YOU’LL DO

  • Process Tax Return Input: Use workflow and automation software to organize and enter client tax documents, ensuring returns move efficiently through each stage.
  • Document Handling: Scan and enter W-2s, 1099s, and other forms, check for accuracy against prior-year records, and assemble complete tax packages for delivery.
  • Workflow Management: Keep projects on track by updating workflow status, monitoring deadlines, and following up promptly on missing information.
  • Client Coordination: Serve as the point of contact for routine client questions and updates, providing clear communication and escalating technical matters to the CPA when needed.
  • Billing & Delivery: Prepare client billing, manage e-signatures and document delivery, and ensure final returns are accurate and complete.
  • Year-Round Accounting Work: Perform assignments such as QuickBooks reconciliations, data input, and maintaining accurate client records outside of tax season.
  • CPA Support: Assist the CPA with occasional projects, system improvements, or software updates that help the firm run more smoothly each year.
