Build community Position Summary:   This position supports the TCC department; the incumbent will assist in completing Alyeska-specific administrative tasks.    Essential Duties & Responsibilities:   * Maintains Federal Motor Carrier CDL compliance program. * Participates/assists with Oil Spill Response Drill documentation and staffing. * Schedules corporate travel arrangements. * Onboards new employees and coordinates new hire requests with IT, Facilities, and hiring manager. * Plan, coordinator, edit and schedule meetings or events on a daily, weekly, monthly, yearly basis. * Create, compose, and edit correspondence including other written materials as requested with accurate grammatical and formatting parameters. * Orders and maintains office supplies the Project and Project Controls Department. * Helps revolves specific technical problems (i.e. Microsoft Office, Help Desk requests, IT requests, EasyBiz, etc.). * Anticipates potential issues and concerns of decisions and appropriately seeks direction * Responsible for tracking department commitments and providing reminders. * Taking meeting minutes at project status meetings, developing an action items list and communication the status and actions required. * Reviews work processes and strives to improve operational efficiencies. * Takes positive action to effectively resolve potential issues and to foster healthy team relationships. * Supports development of presentations. * Coordinates reproduction of meetings and presentation materials (specifically Owner meeting once a month) Distributes office mail on daily basis. * Processes expense reports, performs invoice coding and submittals. * Assists with data input for training documentation and compliance.  * Develops SPR’s and SPO’s in Oracle EBS. * Develops SharePoint database sites to allow innovative use of the software to help manage projecting initiatives. * Adheres to all Alyeska pipeline and Chugach Alaska Services policies and regulations, abides by the Code of Conduct, able to be decisive during response and demonstrate professional behavior with the highest ethical, morale, and legal principles.   Other Job Responsibilities: * Other duties as assigned.   Skills, Knowledge, and Abilities: * Results and deadline oriented with strong accounting and math skills. * Strong computer skills to include MS Word, Excel, PowerPoint, MS Teams. * Strong analytical, problem solving, and multi-tasking skills. * Strong written and verbal communication skills. * Self-motivated with strong organizational skills. * Demonstrated research and reporting skills. * Excellent interpersonal skills. * Ability to maintain strict confidentiality.   MINIMUM REQUIREMENTS (Education, Experience, Professional Associations):   Mandatory Requirements * High School Diploma or equivalent. * Five or more years’ experience with Project or Engineering fields providing administrative support. * Previous experience and competent in using Microsoft Outlook, Work (Styling and formatting) and Excel (graphs, pivot tables) daily at an advanced level. * Skills Assessment with a minimum of 40 words per minute with 70% accuracy in word and excel. * Valid driver’s license with an acceptable driving record. * Successfully pass a pre-employment background check and drug screening. * Must be able to obtain and maintain a Terminal Worker Identification Credential Card (TWIC). Preferred Requirements * Associates Degree. * 5 or more years in related technical data analysis and administration. * Strong interpersonal communications skills. * Experience in Records Management, Data Base Administration, Analysis & Problem Solving, and/or Information Management.
Responsibilities
Provides comprehensive administrative support to the TCC department, including managing CDL compliance and coordinating corporate travel and onboarding. Responsible for meeting coordination, document editing, expense processing, and maintaining SharePoint databases.
