The Opportunity:
Urbis is seeking a Team Administrator or Senior Team Administrator to support our high-performing Property Valuations team.
We are looking for someone with a strong background in valuations or property services administration who can confidently manage end-to-end support across job setup, reporting, and team coordination. You’ll be joining a fast-paced and collaborative environment where attention to detail, strong technical capability, and a proactive approach are essential.
You will play a critical role in supporting the Directors and broader team through seamless coordination, technical document support, and high-level administration.

Responsibilities
  • Managing the setup of new valuation jobs and coordinating workflow and task allocation across the team
  • Assisting with the preparation of valuation reports, including populating and formatting the front end of documents, setting up calculations, and supporting layout consistency
  • Conducting property-related research, such as title searches and planning information, to support valuation work
  • Managing and monitoring of emails, diary scheduling, meeting and conference room bookings, catering, and video conferencing arrangements
  • Creating and reconciling expense reports on behalf of Directors, including entry of receipts and supporting documentation
  • Organising travel arrangements including flight and accommodation bookings, car hire and other transport logistics
  • Coordinating team meetings, marketing activities, internal events and managing team-wide resources and logistics
  • Providing general administrative support to the wider team including document preparation, word processing, data entry, Excel formatting and PowerPoint presentation development
  • Supporting the coordination and production of tender responses and other formal documents under tight timeframes
  • Assisting with monthly invoicing processes for the team and supporting Directors with timely billing coordination
  • Providing a high level of technical support across Microsoft Office Suite, the Urbis Practice Management System (BST), and expense management tools
  • Undertaking other administrative duties as required to support the smooth running of the team

About You:

  • Demonstrated experience in a similar role supporting multiple stakeholders.
  • Excellent knowledge and skills in Microsoft Office suite of products (Word, PowerPoint and Excel in particular);
  • Experience using the systems - BST *desirable
  • High proficiency in both spelling and grammar
  • Exceptional time management and organisational skills
