Our Story 4DMedical is an ASX listed global medical technology company aiming to change the outcomes for patients with lung disease by revolutionising respiratory imaging and ventilation analysis. We are seeking an Team Assistant to support several Executives and our CEO when he is in town. In this busy role you will use your exceptional time management and organisational skills to manage diaries, inboxes and meetings for three executives. We work in a fast-paced and ever-changing environment, so if you are agile and can pivot when needed, you will thrive in this role. Further responsibilities include: Inbox management, reading and prioritising emails and escalating any urgent communication Diary management, including scheduling meetings, accepting/declining meeting requests, managing diary conflicts and juggling room bookings across time zones General administration duties including arranging couriers, printing, obtaining document signatures, setting up physical meeting spaces and video calls (Experience desirable) Preparing agendas, taking minutes in meetings, and engaging with team members on arising action items Reception relief (as required) Essential Experience & Attributes Highly responsive and able to work in a fast-paced environment Exceptional time management & prioritisation skills Ability to manage, coordinate and facilitate key activities Tech savvy and the ability to pick up new systems quickly High attention to detail Strong stakeholder management skills and the ability to work autonomously Excellent time management and organisational skills to juggle competing priorities Proficiency in Microsoft Office (Word, Excel, PowerPoint) Discretion and professionalism in handling sensitive information Strong interpersonal skills and communication skills What we can offer you: Access to an employee benefits, recognition, and well-being platform Embrace hybrid working with the option to enjoy our fantastic office space in Carlton, featuring company arranged social events, table tennis, and excellent local coffee!
