We are looking for an experienced Team Assistant to join our team in Sydney. As Team Assistant you will provide administrative, operational, and executive support to the Sydney office. In this role you will be a proactive problem solver with excellent communication skills and attention to detail. This position is about making an impact and helping Hamilton Lane run smoothly, by supporting leadership and maximising productivity. You should be creative and enjoy working within an entrepreneurial environment. You’ll need to know when to exercise good judgement and discretion, while maintaining a realistic balance among multiple priorities. Organisation and administration come second nature to you, but you do it all with professionalism and strong written and verbal communications. This is a wide-ranging role, which will suit someone will experience/interest in the Private Equity/Financial services sector. This is a role that you can really make your own. Reporting into the Executive Assistant working hours 8:30am – 17:00pm (4 days in the office with one day remote). Your responsibilities will be to: Meet and greet all incoming visitors and escort them to meeting rooms. Coordinate meeting room bookings Screen and redirect incoming calls Ad-hoc administration and support to the broader team Administrative support, including: Calendar scheduling/management; arranging meetings and conference calls Coordinating travel arrangements both domestic and international whilst adhering to internal travel policies Preparing expense reports Printing and binding of client presentations Coordinating client visits to international offices Coordinating across multiple time zones Office Management Maintenance of a tidy and orderly office Maintain an inventory of supplies Update and maintain the client database (via DealCloud) with accurate and up-to-date information, ensuring data integrity. Organise catering for client meetings, including set up and pack down of Boardroom Coordinate social activities and functions, including dinners with senior international visitors, volunteer days, monthly birthday lunches etc. Your background will include: Minimum 2 years’ experience as an administrative professional in Financial, Professional Services, or related sectors Exemplary planning, time management, and work prioritisation abilities Strong attention to detail and sense of urgency, accountability and ownership A passion to learn, to contribute and to reinforce the culture throughout your interactions Discretion and confidentiality Excellent knowledge of MS Office Proactive and flexible in a fast-growing business Strong work ethic, a team player with the ability to work independently and a positive attitude #LI-BS1 Benefits At Hamilton Lane, our benefits philosophy is simple.
