About the role As a Team Assistant, you will work as part of a team to provide seamless day-to-day administration support to the Head of Legal Banking, Head of Legal Corporate and the Legal Team. Your responsibilities will be varied as you collaborate with internal stakeholders at all levels of the organisation to effectively coordinate a range of Board and team activities. Specifically, this will include: Undertaking coordination and administration activities including meeting co-ordination Legal Team meetings and related activity, provide diary support to the Head of Legal and Legal Team members Preparing agendas and slide decks for presentations or meetings, attend meetings with members of the Legal Team and take minutes and actions Providing support and coordination with respect to invoicing arrangements including the processing of invoices, liaising with stakeholders and appropriate record management Providing travel management coordination and support to the Legal Team Preparation of reporting to the Heads of Legal in relation to the legal matter register Assisting with process improvement projects and initiatives with opportunities to take the lead for certain activities Assisting with the development and management of registers, planners and trackers Maintaining a schedule of regular reporting, ensuring that all contributors are aware of development time schedules and proactively manage delivery Organising, planning, managing and progressing work in an autonomous manner whilst working collaboratively within a small team. About you This is a multi-faceted and fast-paced role. Therefore, to be considered, you need to demonstrate your experience operating autonomously and successfully prioritising competing demands in a high-volume, highly regulated and fast-paced environment. Additionally, we seek: Solid experience in a similar role providing high level administrative support for Senior Leaders including diary, travel, and event management Well-developed written and verbal communication skills with an ability to coordinate and develop meeting papers, proposals and reports High level of motivation and ability to multitask and manage multiple projects, priorities and stakeholders concurrently Intermediate to Advanced level of experience in PowerPoint, Microsoft Word, Excel and Outlook plus Microsoft Teams and WebEx Why you’ll love working with us: People First Bank – our new brand – says exactly what we’re all about: people.
