As a Team Assistant, you will gain hands-on experience in a fast-paced environment working closing with senior leaders and will have wide range of responsibilities including diary management, meeting coordination and occasional front-of-house/reception cover.

Responsibilities
  • Admin Support:
  • To manage complex calendars and coordinate internal and external meetings across multiple time zones.
  • To arrange all aspects of travel including flights, hotels, transportation, itineraries and other.
  • To prepare and proofread a variety of documents including reports, presentations and e-mails.
  • To maintain an organised filing system – both physical and digital – to ensure easy access to critical documents.
  • Meeting Coordination
  • To schedule and coordinate meetings, occasionally prepare agendas and take meeting minutes, and ensure timely follow-up on action items.
  • Support to the Business Development Team and Events Team
  • To support the BD & Events team with planning and executing both internal or and client facing events to include coordinate venue bookings, travel arrangements, guest list management, registration and timing logistics, RSVP tracking, and provide on-site or remote support during events.
  • Expense & Document Management
  • To process expense reports and reimbursements accurately and in a timely manner, manage invoice tracking, and ensure compliance with internal data policies and procedures.
