The Role As a Team Assistant (internally known as a Divisional Assistant), you’ll play a pivotal role supporting a high-performing Infrastructure team based across Brisbane, Sydney, and Melbourne. Working at the heart of the business, you’ll partner closely with senior leaders, investment professionals, and corporate teams to keep the day-to-day running seamlessly and enable the team to focus on delivering outcomes that matter. This is a visible and trusted role suited to someone who thrives in a dynamic environment. You’ll be confident juggling competing priorities, calm under pressure, and comfortable working with senior stakeholders. Success in this role requires sound judgement, discretion, and a proactive mindset, along with the ability to adapt quickly as priorities shift in a fast-paced, high-performance setting. Key Responsibilities Provide administrative and meeting support to senior stakeholders Coordinate domestic and international travel, including flights, accommodation, visas, and logistics Organise meetings, room bookings, catering, and team events that support culture and engagement Prepare and format documents, presentations, and spreadsheets Support executive and board reporting as required and liaise with portfolio company EAs and Company Secretaries Support fundraising activities, training initiatives, and industry events Manage expense reconciliations, invoices, and budget-related administration Partner with HR, IT, Facilities, and Finance to support team operations and new starters Continuously identify opportunities to improve processes and drive efficiencies Handle all information with a high degree of confidentiality and professionalism Essential experience include: Proven experience in an administrative or business support role, ideally in a professional services or investment environment Strong organisational skills with exceptional attention to detail Ability to prioritise effectively and manage time-critical tasks Confidence working independently and collaboratively within a team Strong written and verbal communication skills Professional judgement, discretion, and integrity Experience coordinating domestic and international travel Intermediate to advanced skills in Microsoft Word, Excel, and PowerPoint Comfort working in a fast-paced, evolving environment with senior stakeholders A professional approach with the gravitas to operate at senior level We look forward to receiving your application.
