Description:

Team Assistant
3-month contract
Salary: 21 to 25 per hour PAYE inclusive of holiday pay
Location: Canary Wharf, London
4 to 5 days a week in the office required
An exciting opportunity has arisen for a highly organised and dependable Team Assistant to join a dynamic team based in London. This role offers the chance to provide essential administrative and secretarial support to several managers, ensuring the smooth running of their business activities. With responsibilities ranging from travel planning and expense management to diary coordination and document proofreading, this role is perfect for someone who thrives in a fast-paced environment and enjoys a varied workload.

What you’ll do:

  • Provide administrative and secretarial support to allocated managers
  • Ensure the smooth running of managers’ business activities including travel planning and expenses, diary coordination, and document submissions
  • Support & guide other secretaries when new to their role and cover secretarial absence
  • Handle Managers’ expense claims relating to travel, hospitality, following up on reimbursement and monitoring corporate card bills
  • Screen Managers’ and colleagues’ telephone calls; respond to external queries; pass on calls as appropriate
  • Maintain comprehensive filing in various hard copy and electronic systems for instant retrieval of documents
  • Manage diaries, arrange internal and external meetings, conference calls, receive visitors
  • Coordinate moves and changes with HR, IT and Facilities or/and own department coordinator for new starters

What you bring:

  • Secondary/High School Education
  • Fluent English with excellent written and oral communication skills
  • Secretarial and administrative experience
  • Good organisational skills with proactive and flexible attitude towards work
  • Ability to prioritise own work and work on own initiative
  • Good communications skills with pleasant telephone manner
  • Attention to detail with high level of accuracy
  • Ability to build effective working relationships in a multicultural environment
