What I need to do Administration to Director of Global Sourcing and Leadership Team (GSLT) Understand the objectives for Global Sourcing and be able to engage and influence cross functionally and externally to ensure priorities are delivered. Support across GSLT by providing a highly confidential service by proactively managing long term commitments through liaison with relevant business areas. Provide administrative support to management and follow up of actions, preparation of agendas, pre-reads and general diary management for all GSLT meetings (weekly, Periodic, 1/4ly) Provide administrative support to management and follow up of actions, preparation of agendas, pre-reads and general diary management for all Quarterly Business Reviews (category/office) To read and prioritise information through the creation of daily folders within One Note (or other) to reflect GSLT calendars and ensure all meetings are up to date with relevant pre-reads attached. To arrange and coordinate meetings, steering groups and forums with timely and cost-efficient travel arrangements and follow up on any related issues with the relevant business areas. Build a strong network amongst other Team Assistants and PA’s within the business and work alongside to ensure smooth organisation of meetings and coordination of leadership diaries. Prepare and provide; presentations, documents and reports, for GSLT as appropriate, working with only general direction of content. Summarise regular communication documents to ensure the team is aware of key information. Manage the collation of departmental schedules including holiday requests and scheduling any necessary meetings for the wider team. Events management; organising and coordinating training sessions and weekly team meetings to ensure consistent and maximum attendance. Locating and booking meeting rooms, capturing key actions or minute taking when in attendance and keeping the team One Note folder (or other) up to date. Communications Management To co-ordinate weekly, periodic and quarterly communications events across Asia including huddles and newsletters Support GSLT with ad-hoc communications events and distribution of co-ordinated strategy cascades across General Merchandise and Clothing as well as category specific cascades Collate & maintain total Asia We’re Listening action plans and regularly report progress What I need to know Excellent computer skills (Microsoft packages to include PowerPoint, Excel, Word and Office 365) and knowledge of Sainsbury’s and/or Sainsbury’s Argos systems (or capability to learn at pace) Proven written and verbal communication, numerical and analytical, skills Experience in minute taking for confidential meetings Proven experience of simplifying processes for multiple stakeholders Proven ability to organise and prioritise work for multiple stakeholders and work on own initiative with confidence Previous experience of diary management, presentation and report collation Appreciation and understanding of the wider business Impact and influence skills with the ability to engage stakeholders at all levels within and external to the business Interpersonal skills and ability to network with all areas of the business What I need to show High level of integrity and confidentiality at all times Self-motivated and able to multi-skill at pace, with the internal customer in mind Strong diplomacy and ability to balance conflicting priorities An understanding and analysis of data, with an attention to detail A positive approach, with the ability to challenge and influence upwards Contribute to a great place to work, demonstrating credibility by role modelling the values Effective ways of working within an administration role Quality facilitation of meetings and minute taking Able to work in a fast-paced, pressurised environment Ownership of personal development, taking time to review and update Link paperwork Resources available to me Senior Managers and their wider teams Peers in similar roles Leadership Team What decisions I can make Responsible for the day-to-day administrative activities within the department Communication responses where appropriate Diary commitments on behalf of the Senior Managers
