  • Experience in a similar role or providing full administrative support to a team
  • Experience of managing multiple busy diaries, with an ability to work in a pressurised environment with conflicting priorities and without supervision
  • Intermediate Outlook, Excel, PowerPoint, Word and Microsoft Teams skills
  • A highly organized and detailed focused individual, with a professional, friendly and flexible approach.
  • Able to work in a deadline driven environment and meet tight deadlines
  • Able to work autonomously, with minimal supervision, be pro-active and take initiative
  • Highly discreet and aware of sensitive & confidential information and situations
  • Team player with ability to form excellent working relationships with colleagues (internally & externally)

We are looking for an enthusiastic Team Assistant to make a meaningful impact and be part of our dynamic team, specifically providing support to our office of president and leadership team!

As a Team Assistant, the successful individual will be responsible for providing comprehensive administrative support to the Office of President and Leadership team, with accountability over a broad array of activities, including proactive problem-solving, query handling and actively contributing to projects within the division. The Team Assistant will be a focal point of contact for the division and will liaise with the team, judging priorities and ensuring the delivery of a high level of service.
This is an office-based role. 4 days working in the Hammersmith, London office with 1 day working from home (Monday or Friday).

WHAT YOU WILL DO

Supporting a team, your role will be exceptionally varied and hands on, learning from Executive Assistants who will train and mentor you.

Responsibilities will include:

  • Administrative support
  • Handling general office tasks like scheduling meetings, making travel arrangements, and drafting documents.
  • Workflow Management
  • Assisting with tasks to ensure smooth team operations, such as preparing materials, managing calendars, and coordinating communication.
  • Relieving the Executive Assistants
  • Taking on some of the executive assistant’s workload, allowing them to focus on more strategic tasks and high-level responsibilities.
  • Providing Back-up
  • Offering support to President and Leadership team during the executive assistant’s absence, such as holidays or illness, ensuring continuity of operations.
  • Events
  • Supporting the planning and organization of meetings and events, including sourcing and booking venues, arranging catering and any other administrative arrangements within specified budgets, coordinating any last -minute changes to arrangements.
  • Communication and Coordination
  • Facilitating communication between team members, departments, and external contacts.
  • Office Efficiency
  • Ensuring the office environment is organized, efficient, and conducive to productivity.
