We are seeking a proactive and highly organized Team Coordinator to support our project management team and ensure smooth communication among all stakeholders. The ideal candidate will have proven experience in construction coordination, with a strong track record in billing, closeout packages, and providing administrative and operational support that contributes to the successful delivery of projects.

Responsibilities
  1. Monthly Reoccurring Responsibilities / Billing
    Manage monthly billing, including subcontractor invoices and release documents, ensuring all previous releases have been collected.
    Ensure preliminary notices are prepared and filed accurately and on time.
    Coordinate and support 4–6 projects simultaneously, maintaining organization and timely communication across all stakeholders.
    Monitor accounts payable and receivable, track payments, and follow up on overdue invoices to ensure timely collection.
  2. Communication
    Serve as the primary contact for project teams, clients, subcontractors, and suppliers, ensuring smooth communication and collaboration.
  3. Contract Administration
    Draft, review, and manage contracts with clients, subcontractors, and vendors, ensuring compliance with legal and regulatory requirements.
    Ensure Certificates of Insurance are current and compliant.
  4. Document Management
    Maintain accurate project documentation, including contracts, change orders, amendments, progress reports, and related records.
    Prepare, collect, log, and issue preliminary notices for projects.
    Procore knowledge required for effective document management.
  5. Billing Coordination
    Oversee billing processes, ensuring accuracy and timely submission for all projects.
  6. Insurance Coordination
    Manage the procurement and renewal of insurance policies, ensuring adequate coverage for projects and compliance with contractual requirements.
  7. Problem Solving
    Identify and address issues that arise during the project lifecycle, escalating as necessary to the appropriate stakeholders.
  8. Quality Assurance
    Support the team in maintaining high standards of quality and safety on-site, ensuring compliance with regulations and company policies.
  9. Team Support
    Provide administrative support to project managers and team members, helping streamline workflows and enhance productivity.
