Description

SilverDoor have a newly created role and as such are looking for a highly organised, proactive, and detail-oriented Team Executive Assistant. You will provide comprehensive support to C-suite executives, supporting business critical projects whilst helping to manage time, priorities and communications in a global company that strives for excellence. This role is essential to the smooth day-to-day running of executive activities and will require exceptional multitasking ability, discretion, and a positive, can-do attitude.

The ideal candidate will have proven experience supporting senior leadership in a fast-paced, corporate environment and will thrive on staying two steps ahead to anticipate the needs of the executives they support. Due to the requirements of this role the successful candidate will be working from our stunning Chiswick office daily.

  • Provide EA support to the company Directors.
  • Diary & Calendar Management: Manage the Directors (CEO, CFO, CCO, CSO, CITO & CPO) complex schedules, meetings, and appointments across multiple time zones.
  • Travel Arrangements: Organise domestic and international travel, including flights, accommodation, and itineraries.
  • Prepare and submit expense reports in a timely and accurate manner.
  • Meeting Support: Arrange meeting logistics, take notes and follow up on actions where required. Coordinate agenda setting, presentation support, and execution of quarterly All Staff Meetings.
  • Support with Director correspondence, draft emails and prepare documents on their behalf including reports, presentations and correspondence for internal and client use.
  • Building strong relationships across the business and supporting on cross-departmental projects
  • Act as the point of contact for the Group CEO
  • Handle sensitive information with absolute confidentiality and professionalism.
  • Support the planning and management all internal company events, including logistics, venue booking, and on-site coordination.
  • Oversee company-wide diary date management, ensuring key event dates are communicated.
  • Manage the Directors’ department budget, including budget planning, monitoring, and expense tracking.

EXPERIENCE:

  • Proven 2 years + experience as an Executive Assistant/PA or administrative support role ideally within a fast-paced corporate or global environment.
  • Experience of providing direct support to Director level roles
  • Confident with diary management and meeting coordination
  • Experience of producing high quality internal and external communications

SKILLS:

  • Discretion and confidentiality.
  • Strong organisational and multitasking abilities.
  • Strong communication skills. Replace with: Impeccable communication skills both written and verbal, with the ability to engage confidently with stakeholders
  • Ability to adapt and get “stuck in” to address unexpected issues as they arise, doing so with the ability to remain calm and composed.
  • Strong interpersonal skills and the ability to collaborate with various team
  • Confident with diary management and meeting coordination
  • Expert use of Microsoft Office, Outlook, Word, Excel, PowerPoint, Teams & SharePoint
