Your Role at St John of God Midland Hospital The Team Leader Inpatient Administration Services (IAS) is responsible for leading a high-performing Inpatient Administration Services team within a fast‑paced hospital environment. This role supports the Coordinator Administration Services in delivering efficient, responsive, and patient‑centred administrative services, ensuring a consistently high standard of customer service to patients, clinicians, and internal and external stakeholders. The Team Leader will act as a positive role model, fostering a culture of teamwork, accountability, and collegial support, with a strong focus on patient experience and service excellence. Key responsibilities include contributing to the delivery of customer-focused services, overseeing day‑to‑day operational functions, and preparing departmental rosters. The role coordinates planned and unplanned leave arrangements to always ensure appropriate staffing coverage across all inpatient administration areas. This position requires a flexible and adaptable leader who is willing and able to work afternoon shifts and some weekends, supporting service continuity in a busy hospital setting. The Position Contribute towards the delivery of customer-focused services. Acts as a role model, creating a spirit of teamwork and collegial support, ensuring that all activities are patient and customer centred. Prepare departmental rosters and coordinate leave relief, including planned and unplanned leave, ensuring all areas are covered appropriately. Assist in monitoring and assignment of departmental workload to ensure operational and performance objectives are met, escalating issues of concern to the Coordinator Administration Services as appropriate. Assist the Coordinator Administration Services in recruitment and induction training of new caregivers. Undertake training of team members in achieving skill development and key milestones in learning, seeking support for additional training, guidelines or documented training resources to support learning needs and further understanding by caregivers. Assist in monitoring mandatory training competencies for all caregivers. Effectively support the Coordinator Administration Services with caregiver disciplinary matters, including caregiver complaints and performance management plans. Assist the Coordinator Administration Services in performance appraisals. Liaise with Nurse Unit managers and other stakeholders to ensure efficient coverage is provided each day and advise of any gaps in service. Participate in project activities that require high level input in regard to Inpatient Administration Services. Attend meetings on behalf of the Coordinator Administration Services when necessary. Work with Health Information Services, Senior Health Information Officer to ensure Health Information is dealt with correctly. Adhere to Privacy and Confidentiality principles and promote practice within the team. Provide onsite after-hours administration leadership support on a rotational basis with other Team Leaders. Position Requirements To succeed in this role, you will demonstrate experience and/or sound knowledge of ward administration and reception duties within a busy healthcare environment, supported by a strong front‑line customer service focus. You will have proven capability in coordinating departmental rosters and managing planned and unplanned leave relief to ensure appropriate staffing coverage, alongside experience supervising and leading a large team with responsibility for key HR functions, including staff support, performance management, and fostering a positive and collaborative team culture. You will demonstrate the ability to use initiative and effectively organise and prioritise clerical and administrative tasks with minimal supervision in a fast‑paced environment. You will possess the ability liaise confidently and professionally with the public, patients, and caregivers at all levels, supported by well‑developed written and verbal communication skills that are clear, concise, and appropriate to a healthcare setting. In this role it will be essential to have the ability to coordinate and support staff using positive, fair, and equitable approaches that promote team cohesion, engagement, and morale. You will also bring demonstrated experience in training and supporting both new and established team members, showing an understanding of different learning styles and the ability to adapt your approach to meet individual and team development needs.
