YOU’LL HAVE THE FOLLOWING SKILLS/EXPERIENCE:
· Able to use word processing and Microsoft Office Software Package e.g. Microsoft Excel, PowerPoint, and Access.

· An awareness of policies & procedures in relation to confidentiality, information sharing, and safeguarding.

· To provide a full range of secretarial duties across the clinical team and visiting Consultants as required, including utilising Microsoft Office, audio/digital dictation, copy typing, filing and photocopying, maintaining confidentiality at all times
· Organise and maintain electronic diaries and arrange meetings and appointments as necessary, ensuring preparation and circulation of papers and reports as required.
· To be responsible for production and circulation of minutes and action plans for meetings as directed.
· Responsible for ensuring effective scanning/filing arrangements, photocopying and other ad-hoc administrative requirements as requested.
· Ensure all tasks are undertaken in a timely manner given frequent prisoner movement.
· Inputting and maintain team data bases. Ensure they are kept up to date with appropriate backup systems.
· Maintain staff records and attendance recording and Prison transfer records.
· Typing up of handwritten CPA / Nursing Assessments.
· Receive and initiate a variety of telephone calls on behalf of the clinical team using initiative, to deal with matters where possible, taking messages and re-directing calls as appropriate.
· Liaising with managers and staff from internal services and external agencies as required.
· Book attendance / travel/ for business trips, training and conferences as requested.
· Maintain Service telephone lists
· Monitor stationery stock levels, ordering as and when required utilising the on-line ordering system.
· Arrange visitor access to the Prison in line with HMP Forest Bank protocols.
· Send out Prison security information as directed by nurses on the team to potential visitors.
· Responsible for ordering stationery/office furniture, computers and taking delivery and storing appropriately.
· Monitor the receipt of essential supplies and equipment for the Community Mental Health Team.
