JOB OVERVIEW:

FedTec is seeking experienced an IT Project Coordinator supports successful project execution by collaborating with internal teams, vendors, and stakeholders to ensure timelines, deliverables, and quality standards are met. This role manages schedules, facilitates meetings, maintains project documentation, and assists with testing and quality assurance processes. Strong communication, organization, and multitasking skills are essential to thrive in this fast-paced, team-oriented environment.

REQUIRED SKILLS & EDUCATION:

· Associate’s degree in business, information technology, project management or a related field or
· professional project management certifications such as PMP, CAPM, Agile, ScrumMaster, SAFe or ITIL to validate expertise in established methodologies preferred.
· 2-4 years of hands-on experience in administrative support or project coordination
· Proficiency in Microsoft Office Suite (e.g., Outlook, Excel, Word, PowerPoint, Teams) and
· familiarity with project management software
· Excellent written and verbal communication skills with acute attention to detail
· Proven ability to work effectively in a fast-paced, multi-tasking environment
· Strong interpersonal skills with a professional demeanor for interacting with stakeholders at all levels.

DESIRED SKILLS:

  • Understanding of software development lifecycles
  • Documentation of business technology challenges

Responsibilities

· Coordinate and support IT projects by working closely with internal teams, business partners, contractors, and vendors to ensure timely and successful delivery.
· Develop, maintain, and update project plans, schedules, and timelines in collaboration with project managers to ensure accuracy and project alignment.
· Plan and organize meetings and events, including logistics, agenda preparation, note-taking, and follow-up on action items.
· Serve as a liaison between technical teams and business stakeholders, clearly communicating project requirements, updates, and changes.
· Support the creation of project artifacts and contribute to quality-focused activities such as User Acceptance Testing (UAT), Process Verification and Validation (PVV), and Quality Assurance (QA).
· Track and report key performance indicators (KPIs) and project metrics to support data-driven decision-making and project visibility.
· Organize and maintain documentation and project files, ensuring compliance with organizational policies and records management standards.
· Assist with administrative and ad hoc tasks, including calendar management, document preparation, and coordinating special projects as needed.
· Adapt quickly to changing priorities and project demands, demonstrating agility and proactive problem-solving in a dynamic environment.
· Use productivity and project management tools (e.g., Microsoft Project, Planner, Planview, JIRA) to support project execution and tracking.
· Ensure safety compliance when coordinating vendor work near rail systems by completing required safety training and adhering to transit safety protocols.
· Promote effective communication and teamwork, working both independently and collaboratively across departments to support successful project outcomes.
