The Technical site Assistant provides comprehensive technical and administrative support to construction and service coordination activities. The role ensures effective document control, coordination with contractors and authorities Job Description Receive, register, distribute, and track all incoming and outgoing correspondence, including letters, transmittals, faxes, and technical drawings. Prepare official correspondence, reports, and documentation as requested by senior management and submit for review and approval. Support the preparation, categorization, and issuance of Contract Work Requests to contractors. Establish, maintain, and control document management systems, ensuring proper logging, distribution, tracking, storage, security, and archiving of project documents. Maintain accurate and up-to-date filing systems and safeguard original project records. Upload and manage all relevant data and documentation within designated software systems and databases. Maintain records of internal and external correspondence, minutes of meetings, and technical documentation. Prepare invoices and variation orders in coordination with Senior Engineers and project teams. Coordinate with internal departments, directorates, and sections to support construction operations and project activities. Issue RO1 requests and receive RO2 approvals. Monitor and update the daily status of all RO1 applications, including approvals, rejections, and resubmissions. Maintain logbooks for approved RO2 permits and distribute records to relevant stakeholders. Issue RO3 and RO4 permits to client contractors as required. Prepare weekly monitoring and status reports related to RO processes and attend coordination meetings with authorities and agencies. Liaise with contractors to support permit applications, licenses, and regulatory compliance requirements. Respond to contractor and consultant inquiries related to construction activities and electricity distribution network equipment. Resolve contract-related issues in coordination with the Senior Engineer – Service Coordination. Prepare reports and technical documentation and ensure timely submission to senior stakeholders. Support Quality Assurance and Continual Improvement initiatives, including compliance with ISO, Risk Management, and ISMS requirements. Ensure all activities are performed in compliance with SGS policies, client requirements, and applicable health, safety, and environmental regulations. Qualifications Bachelor’s degree in a relevant field or equivalent qualification. Minimum 8 years of relevant experience in a similar technical or administrative support role within construction, utilities, or infrastructure projects Strong document control and administrative management skills Knowledge of construction permits and regulatory processes Excellent coordination and communication skills
