Property Liaison Officer
Responsible to Maintenance Manager
Contract Permanent
Salary £23,055 - £25,055
Purpose of Role:
The role of the Liaison Officer is to assist in the provision of a high quality efficient, effective property and asset development administration function for the organisation. The main tasking being the prompt and effective responses to repairs and maintenance issues. The role holder will assist on the health and safety administration tasks; ensuring properties are compliant and up to date. The role holder will provide excellent customer service for our clients, customers and staff at all times.

Specific Duties:

  • Taking repairs from staff and customers by phone, email and pyramid system, logging the repairs onto the system and ensuring they are allocated out for completion.
  • Closing down completed repairs using the pyramid repairs function.
  • Logging of void properties, ensuring target timeframes are met and properties are returned to projects.
  • Ordering of stock, ensuring sufficient stock levels are maintained.
  • Answering staff and customer queries, relating to maintenance and asset development, by telephone and email.
  • Health and safety compliance, ensuring gas certificates, FED testing, PAT testing and regular property health and safety inspections are carried out in a timely manner.
  • Logging and coding of invoices, relating to maintenance and asset development.
  • To be an integral link to outside agencies and landlords, in relation to property repairs and maintenance.

Person Specification

Experience Required

  • Experience of working in an administrative environment
  • Experience of working in a fast paced ever changing environment
  • Experience of using an IT based recording system
  • Experience of dealing with vulnerable customers

Specialist Knowledge & Skills

  • Understanding of the importance of confidentiality
  • Empathetic and patient approach to vulnerable customers

Education

  • Computer skills including all Microsoft packages
  • Ability to adapt and learn to new IT systems
  • Excellent communication skills, both written and verbal particularly communication via phone or e-mail.
  • Good organisational skills, the ability to work flexibly, on your own initiative and to prioritise workload
