SUMMARY:

We are seeking a highly organised, proactive, and personable Office Manager to join us - initially on a Temporary basis; to oversee the smooth and professional running of our workplace. Acting as the front-of-house representative and a key operational support, the ideal candidate will be IT-literate, comfortable working on their own initiative and possess a natural curiosity to learn and contribute to various business functions. This is a hands-on role that supports a range of internal stakeholders and helps foster a positive, engaged and efficient work environment.
This Role has a required start date of Monday 12th May 2025 and is initially interim with the possibility of becoming permanent.

REQUIRED SKILLS & EXPERIENCE:

  • Available to start on Monday 12th May 2025.
  • 3–5 years’ proven experience in an office management or similar operational role.
  • Strong IT literacy is essential – must be comfortable using Microsoft Office Suite (Outlook, Word, Excel, Teams) and similar tools.
  • Previous experience with social media management or internal content creation is a distinct advantage.
  • Demonstrated ability to provide clear, confident leadership to direct reports and project teams.
  • Highly organised, with excellent multitasking and prioritisation skills.
  • Comfortable working independently with a self-motivated, proactive approach.
  • Professional, discreet, and trustworthy, with the ability to handle confidential information appropriately.
  • Positive and assertive communication style, with strong interpersonal skills and a team-oriented mindset.
  • A genuine curiosity to learn and contribute across various areas of the business.
Responsibilities
  • Office Operations: Oversee the day-to-day management of the office, including inventory, supplies, general upkeep and maintaining a well-functioning and welcoming workspace.
  • Facilities Management: Coordinate vendor relationships, manage office maintenance and service contracts, and ensure compliance with health and safety standards.
  • Culture & Engagement: Lead a cross-functional committee focused on employee engagement, wellbeing, and workplace culture initiatives.
  • Inbox & Communication Management: Manage the central company inbox, ensuring timely triage and distribution of incoming messages and communications to appropriate teams.
  • Event Coordination: Plan and manage company events, team socials, on-site visits, and venue bookings, ensuring smooth execution and positive experiences.
  • Health & Safety: Serve as the on-site lead for Health & Safety protocols and compliance, liaising with relevant parties as needed.
  • Team Supervision: Provide leadership and day-to-day support to two part-time team members (including one remote team member based in Athlone), ensuring accountability and alignment on shared goals.
  • Ad Hoc Support: Provide assistance to leadership and departmental teams as required, contributing to a collaborative and solution-focused office environment.
