Description JOB TITLE: Administrative Assistant DEPARTMENT: Sunset Park High School Summer Youth Employment Program Exemption: Non-Exempt PURPOSE OF THE POSITION: To provide administrative support critical to the successful rollout of SYEP. REPORTS TO: Program Director SUPERVISES: N/A I. SPECIFIC RESPONSIBILITIES include but are not limited to Recruit and enroll youth and young adult participants Review participant intake documents to verify information Verify file accuracy Enter payroll information into the online SYEP database Distribute SYEP MetroCards and pay cards Monitor worksites to ensure safe and productive work environments Complete written reports of worksite visits Perform general office duties:?answer multi-line phone, check voicemails, file documents, etc., as necessary II. QUALIFICATIONS Education/Degree minimum requirement: High School or Equivalency Diploma Years of Experience: At least one year of office-related experience required Demonstrate strong data entry skills Strong written and verbal communication skills Detail-oriented, highly organized, and dependable Fast typing skills; Knowledge of touch-typing system is strongly preferred Excellent knowledge of word processing tools and spreadsheets (MS Office: Word, Excel, etc.) Good command of English both oral and written Great customer service skills Bilingual: English/Mandarin/Cantonese or English/Spanish, preferred III. RELATIONSHIP WITH OTHERS Build and maintain close, daily interactions with participants, co-workers, and supervisors Effectively communicate with teenagers, parents, and outside agency staff Forge a mutually respectful partnership with the people served and their families Maintain contact as needed with participant’s families, school personnel, and external community groups to co-exist in the same space Have a strong sensitivity to cultural differences present among staff and clients within our organization Possess a strong belief in people’s ability to grow and change IV. WORKING CONDITIONS Actively engage and interact with teens, parents, coworkers, and outside agency staff Fast-paced, high-energy environment Work primarily in an office setting Considerable time is spent at a desk using a computer Travel to worksites in various weather conditions V. SCOPE OF RESPONSIBILITY The Administrative Assistant focuses on completing essential administrative tasks to support the management of the organization and program. This is a temporary full-time position at 35 hours per week. The position begins in March 2025 to the end of August 2025. Hourly rate of $18.00 - $20.00, commensurate with experience and education.
