This full-time, in-office role is initially for 3 months, with the possibility of extension. Key Responsibilities

  • Answer and direct incoming calls to appropriate staff
  • Welcome and greet clients and office guests
  • Coordinate monthly fire inspections and utility notifications
  • Arrange safety training for employees as needed
  • Prepare new employee packages
  • Prepare and send outgoing mail and packages
  • Monitor and replenish office supplies
  • Track tool inventory for all sites
  • Arrange mail courier services for staff
  • Track and manage business credit cards
  • Manage phone systems and update company phone lists
  • Assist with event planning and birthday celebrations
  • Keep track of Home Depot, Rona, Petro-Canada, and Esso receipts
  • Track and record all incoming resumes sent to DeSantis Homes
  • Maintain cleanliness and organization of common areas
  • Assist in preparation of regularly scheduled reports
  • Maintain all office equipment
  • Produce and distribute correspondence, memos, letters, faxes, and forms
  • File correspondence and other documents
  • Copy/scan cheques and invoices
  • Match packing slips to invoices
  • Provide administrative assistance to all departments as needed
  • Document and track utilities across all projects, providing up-to-date information to each company
  • Manage calendars for closings, PDIs, and related events
  • Create closing drives to distribute to homeowners
  • Answer FAQs to help reduce repeat questions
  • Manage key pick-up for homeowners
  • Perform other duties as assigned

  • Strong interpersonal, customer service, and written/verbal communication skills
  • Self-starter who can work both independently and as part of a team
  • Strong analytical and problem-solving skills
  • Ability to multitask, prioritize competing demands, and meet deadlines
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
