Position Purpose: The Network Services Clerk is responsible for tracking the workflow of engineering drawings and Work Orders, including the update of spreadsheets and other records management systems. This may include monitoring the work queue. They provide records management services to ensure that our engineering records are secure and complete. They will provide maps, reports and documents in response to requests from both internal and outside parties. Responsibilities: Organizes, maintains and processes Engineering records, correspondence, contracts and applications using the departmental filing system. Interacts with Design Technicians, Engineers, Managers to ensure adherence to ESA and Alectra standards for records management/approvals. Coordinates workflow of engineering drawings, including spreadsheet update activities. Reviews work order files to ensure completeness of information. Manages Disaster Recovery workflow. Scans engineering/easement documents and imports into the document management system along with appropriate database information. Processes schematics of Customer-Owned facilities, and associated Connection Agreements. Processes and monitors utility applications and notifications to the Municipalities, utilities and other agencies. Retrieves files as requested by the Network Services Department for completion of engineering projects. Locates and retrieves records located at the corporation’s records storage facilities and issues to the requestor. Records, packages and prepares file records for mailing. Archives project files, work order records and various other files. Maintains a database of archived project records and updates information as required to ensure timely retrieval of records when requested. Processes outside printing requests. Responsible for a working knowledge and understanding of and make all efforts reasonable to work in accordance with and ensuring work is done in compliance with the appropriate safety legislation, EUSR rules, Alectra policies and procedures and safe work practices that apply to the work while adhering to the internal responsibility system. Reports any unsafe conditions or observed unsafe work practices using Alectra procedures. The incumbent may be asked to perform other related duties which may be assigned from time to time. Qualifications, Knowledge, Skills and Competencies: Education & Specialized Knowledge A College diploma in a technical field, Geography, or Records Management, or equivalent work experience. Experience Minimum three (3) years related experience in an administrative role, 6 months of which is in a related field such as Network Services or Network Operations. Skills/Abilities/Competencies Working knowledge of records and information management procedures. Good understanding of engineering design practices. Solid communication skills combined with good interpersonal skills with a customer-service orientation. Demonstrated ability to solve basic problems. Good organizational skills with the ability to prioritize, meet deadlines, and multitask. Knowledge of CAD software. Proficiency in Windows-based office applications including Word and Excel. Experience with GIS systems and MS SQL would be an asset. A valid Class “G” driver’s license.
