Responsibilities

ROLE SUMMARY:

Our centralised leasing team is essential in connecting potential residents with their ideal homes. We are seeking a Tenancy Compliance Manager to join our dynamic team, bringing leadership and expertise to enhance our leasing efforts. Reporting to the Head of Leasing, the Tenancy Administration Manager will lead and oversee the tenancy administration function, ensuring all processes, documentation, and compliance obligations are managed accurately and efficiently.
Acting as the key point of expertise on UK lettings legislation, the role ensures the team adheres to statutory requirements while maintaining high standards of service.

KEY RESPONSIBILITIES:

  • Document Oversight & Compliance: Ensure tenancy and legal documents are administered accurately and on time across the tenancy lifecycle. This includes oversight and sign-off of tenancy agreements, addendums,deeds of surrender and assignment, renewal agreements, and statutory notices (e.g., Section 8, 13, 21).
  • Legal & Solicitor Liaison: Oversee solicitor engagement to ensure section notices and expiry dates are tracked, managed, and escalated appropriately. Monitor communications on legal proceedings and ensure timely updates are provided during delinquency reviews.
  • Renewals Management: Ensure coordination between property and leasing managers to guarantee that renewal paperwork is issued promptly, Section 13 notices are served correctly.
  • File & Audit Sign-Offs: Carry out oversight and final sign-off on tenancy files, verifying that leasing teams have completed all required progression and post-move-in steps. Lead regular audits to uphold statutory compliance, identify issues, and ensure corrective actions are taken.
  • Legislation & Best Practice: Act as the key point of knowledge on UK lettings legislation. Maintain up-to-date expertise and provide guidance to the team and stakeholders, ensuring all tenancy administration processes follow correct legal procedures and industry best practice.
  • Property Management System (PMS) expert: Serve as an expert within the leasing business ensuring dataaccuracy, training and guiding staff in correct usage, and driving continuous improvement in system processes and reporting.
  • Train and Onboard New Starters: Train the wider leasing team on tenancy paperwork, compliance requirements, and system processes, ensuring consistency and accuracy across the team.
  • Team Leadership & KPIs: Directly managing the Centralised Leasing Coordinator and providing leadership to the wider leasing team. Set clear expectations, track performance against KPIs, and drive accountability while fostering a culture of compliance, efficiency, and continuous improvement.
