Description JOB SUMMARY Under moderate supervision, provides general administrative support for assigned staff. Assists with tenants and vendor customer service. Requirements ESSENTIAL DUTIES AND RESPONSIBILITIES Performs a variety of administrative tasks for assigned staff including but not limited to phone support, draft, preparation and distribution of correspondence, Client Experience events, calendar and scheduling, meeting coordination, filing and copying, etc. Maintains tenant contacts/floor wardens, vendor and property files, including insurance certificates, elevator/boiler certificates, etc. in accordance with prescribed standards. Works with Building Technician staff and vendors to compile a list of maintenance items. May open work orders. Coordinates and monitors status of work assigned to vendors. Codes invoices for payment, inputs into accounting system and forwards original invoices to accounting for payment. Assist with rent collections correspondence and phone contact with tenants where permitted by state regulations. Draft property service contracts for review & signature as well as maintain property service tracking sheet. Initiates all tenant signage by obtaining logo from tenant, requesting proof and estimate from vendor and ensuring it aligns with building standards Manages partner perks program to ensure website accuracy, confirming partner perk is still valid and secures new perks. Obtains copies of and track/organize all occupancy certifications. Oversee all building access cards/fobs/apps. Enters all new vendors into Vendor Café and ensure all paperwork is accurate and up to date. Prepare all work authorization and send to tenant for signature Performs other duties as assigned.
