PROPERTY MANAGEMENT ADMINISTRATOR – TENANT SERVICES

The Property Management Administrator will manage and administer the service maintenance program for the company’s entire portfolio. The role will serve as the company’s “point person” for tenant and contractor’s building and property maintenance issues. The Property Management Administrator will assist with dispatching calls and email requests to property managers, property management assistant and mobile coordinators as well as assist with monitoring progress of the maintenance database program, ensuring services are delivered to expectations. Included in this role is attending to administrative support and assistance for property managers, accountants and the President of the company.
Key Responsibilities
- Maintain maintenance program database (Prism)

Prism (Create Work Orders, Assign, Updating and Completing)
Prism (Update TPRA Staff, Mobile and Tenant Changes)
Prism (On Boarding and Off Boarding)
Prism (Update Tenant’s Insurance/Contractor’s Insurance & WCB)
Generate PM Reports
Master Program Preventative Maintenance Schedules (Notices & Scheduling)
- Coordinate maintenance services with the site staff and tenants, ensuring all building maintenance and inspections are conducted according to Transpacific’s contractual obligations with each client and tenant
- Schedule and track various global programs (Master Programs) across all properties under management; programs include, but are not limited to, property tax assessments and appeals, insurance policies, fire inspections, roof inspections, and snow removal contracts
- Review and completion of operation contracts, under Property Managers’ direction and approval
- Act as the company’s key tenant contact for maintenance issues; ask questions to clarify the nature of the problem and take immediate steps to ensure satisfactory resolution
- Prepare tenant communication and correspondence on behalf of the PM team relating to the maintenance of the properties
- Maintain tenant lists, contractor lists and various project specific lists to expedite referencing and completion of the work
- Other duties as assigned
- As a member of the Property Management team, provide support to others when required, actively participate in team meetings, and contribute to the overall successful functioning of the office environment

QUALIFICATIONS:

· Strong understanding of building systems
· Strong interpersonal and relationship building skills
· Good working knowledge of Microsoft (Email, Teams, Excel, Microsoft word, PowerPoint, etc.)
· Ability to make good, analytical decisions
· Problem solver
· Ability to meet deadlines
