Description

We are looking for Project Tender Administrator to supports the architectural team in managing tender submissions for public and private sector architectural projects. The role involves coordinating documentation, ensuring compliance with tender requirements, and working closely with design, technical, and bidding team to produce complete, timely, and competitive bids.

REQUIREMENTS:

  • Diploma or equivalent in any discipline; background in architecture, design, or construction is an advantage.
  • At least 2 years of relevant experience in project administration, tender coordination, or similar roles.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Resourceful self-starter with strong problem-solving skills and the ability to adapt quickly.
  • Highly organized, systematic, and able to work effectively under tight deadlines.
  • Mature, proactive, and detail-oriented, with strong follow-through and accountability.
  • A team player with effective communication skills, both written and verbal.
  • Candidates with no prior experience are welcome to apply; on-the-job training (OJT) will be provided.
Responsibilities
  • Support bidding team in end-to-end tender preparation and submission.
  • Support bidding team in preparing client forms, presentation boards, design briefs, and method statements required for tender submissions.
  • Review and ensure tender submission comply with client requirements and internal formats, maintaining consistency, quality, and strict adherence to submission deadlines.
  • Collaborate closely with cross-functional teams, including external subconsultants, bid managers, bidding team, technical team, finance, and legal, to collate necessary information for tender submission.
  • Support follow-up processes after submission, including clarifications and presentations.
  • Maintain a comprehensive pipeline record to track tender status.
  • Follow up with client on Letter of Acceptance or signed agreement.
  • Set up project folders and ensure alignment with Finance on fee payment schedules for successful bids.
  • Maintain an organized system for documentation - Archive past submissions, maintain CV, templates and references database for future use.
  • Proficiently utilize various e-procurement platforms (e.g., GeBiz, Ariba, Sesami, TenderBoard) to identify, track and submit proposals.
  • Any other ad-hoc assignments as assigned.
