Description

We are seeking a proactive and detail-driven Tender Coordinator to support our tendering activities within the subsea services sector. Based in Aberdeen, this role will be responsible for coordinating and producing high-quality technical and commercial proposals that showcase our capabilities and align with client expectations. Working closely with the Commercial team and a wide range of internal teams, the successful candidate will play a key part in securing new business across the energy sector.

REQUIREMENTS:

Previous experience in a tendering, proposals, or commercial coordination role, ideally within subsea, offshore, marine or energy sectors.
Understanding of services such as decommissioning, offshore construction, survey, trenching and /or IRM.
Clear, confident written communication skills with strong attention to detail.
Comfortable managing multiple bids concurrently and meeting tight deadlines.
Proficiency in Microsoft Office, particularly Word, Excel and PowerPoint.

DESIRABLE SKILLS:

Experience with proposal software such as XaitPorter or similar collaborative platforms.
Familiarity with Adobe InDesign or equivalent software for formatting and presentation.
Exposure to procurement portals such as Ariba, Achilles, or similar.

Responsibilities

Working in conjunction with the Business Development team, take ownership of the co-ordination and completion of RFI & PQQ requests from clients as and when required.
Working in conjunction with the allocated Tender Manager, take ownership of the co-ordination of tender submissions from receipt to delivery, managing all moving parts to ensure high-quality, compliant proposals are submitted on time.
Interpret client tender documentation, identifying key requirements, timelines and other salient information.
Coordinate inputs from various departments - including Engineering, Operations, HSEQ, Finance and Legal - to ensure proposals are comprehensive, accurate and aligned with the bid strategy and with client requirements.
Draft, edit and format sections of proposals, ensuring clarity, consistency, and compliance with internal standards and client expectations.
Organise appropriate stage-gate meetings, internal reviews and submission approvals, keeping stakeholders aligned and informed throughout.
Ensure all proposal content is presented professionally and complies with branding and document control protocols.
Liaise with clients to raise clarification queries where needed, working closely with the Tender Manager to ensure alignment.
Support internal handovers following contract award.
Maintaining a library of standard proposal content and templates and support continuous improvement across the tendering process.
