Description Pine Tree Society is seeking to add a team member to our American Sign Language (ASL) Interpreting Services department. The Interpreting Services Scheduling Supervisor-Customer Supervisor oversees the day-to-day management of the Interpreting team and is responsible for the daily coordination of the scheduling office, and for ensuring that requests for American Sign Language (ASL) Interpreters are acknowledged and scheduled promptly. The ideal candidate for this position will exercise good judgment in a variety of situations, use superb communication, administrative, and organizational skills, and possess the ability to balance multiple competing priorities. This position develops and maintains relationships with customers and interpreters, including representatives of social service agencies, businesses, hospitals, schools and others requiring interpreting services, which may also involve local, state and federal agencies and funding sources. This position requires professionalism, flexibility, initiative and great teamwork. Requirements Some key responsibilities a new team member can anticipate: Coordinates the general scheduling function while overseeing implementation of policies and procedures regarding billing, scheduling and interaction with contract interpreters regarding to daily logistic/scheduling concerns. Leads and/or participates in a variety of meetings as necessary to oversee and carry out scheduling functions. Reviews and approves ASL Scheduler timesheets following wage and hour laws for accuracy and completeness, approves reimbursement and PTO requests through payroll system.??? Prepares documents and conducts annual performance reviews within 2 weeks of staff anniversary dates and 90-day reviews for new staff members. Fills requests for interpreting services by intake of requests, entering requests into the computer system, matching requests with the appropriate interpreter and contacting consumers and requesters. Confirms requests via video phone, email, phone, fax, etc. Stays current with knowledge of legal mandates such as the ADA, state licensing regulations, professional code of conduct and regulations relating to Interpreting Services. Generates revenue, satisfies consumer requests, and ensures continuity of service by accepting community interpreting assignments to meet production goals established annually during the budgeting period. Participates in the regular on-call rotation schedule for Staff Interpreters. Assists with orientation of Interpreting Services for contract interpreters and serves as an on-going resource for them relating to the Pine Tree Society’s Interpreting Procedure Handbook. Promotes Interpreting Services and other Society programs and raises public awareness by serving as a representative of the Society at conferences, workshops, display opportunities and through public speaking engagements with various professional and community organizations. Ability to effectively match individual interpreter’s skills with the specific needs of the individual and/or organization requesting services. Ability to use basic computer applications such as word processing and spreadsheet applications and to accurately enter data into the computer system. Ability to manage multiple priorities with flexibility and ingenuity. Ability to organize time effectively and remain flexible to meet competing demands of time and attention. Possess a valid driver’s license with a clear driving record, have a reliable vehicle with at least the state minimum automobile insurance coverage and the ability and willingness to travel and to provide on-call and emergency coverage. Must pass all required background checks including, but not limited to: motor vehicle, criminal, Adult Protective Services, Child Protective Services, US DHHS Fraud Prevention and Protection (OIG) and MaineCare background checks. Education/Experience: Bachelor's degree preferred in interpretation, rehabilitation, counseling, social work, or Deafness related field. A combination of relevant experience and coursework may be considered. Evidence of coursework in one or more of the following: interpreting, ASL linguistics, Deaf studies, education, social work, rehabilitation or related field One-year supervisory experience or aptitude to participate in leadership training.
