Tire Admin Classification Non-Exempt Job Summary The Tire Administrative Assistant plays a key role in supporting the Tire Manager in the day-to-day performance and profitability of the centralized tire service division based in San Antonio, TX. This role is responsible for ensuring operational efficiency, safety compliance, customer satisfaction, and team coordination across all tire-related functions for the South Texas region. The ideal candidate is results-driven, highly organized, customer-focused, and proactive—capable of managing a wide variety of administrative and operational support functions. Working closely with the Tire Manager and service team, this role helps ensure the entire operation runs smoothly and efficiently.   Essential Functions * Work Order & Billing Support: * Review work orders for accuracy and ensure all labor, parts, and materials are correctly billed * Submit and track finalized work orders for invoicing * Quoting & Customer Communication: * Partner with the Tire Operations Manager to provide customers with prompt and accurate quotes * Track and follow up on quote approvals to ensure timely service delivery * Scheduling & Dispatching: * Assist in scheduling tire service jobs for both shop and field technicians * Coordinate daily with dispatch to maximize technician efficiency and responsiveness * Help coordinate and schedule technician PTO and monitor timecard entries for accuracy and compliance * Fleet & Equipment Coordination: * Assist in maintaining tire service vehicles and equipment * Monitor vehicle registration, inspection renewals, and service schedules to ensure all assets are compliant and operational * Procurement & Inventory Support: * Receive and process incoming tire and parts orders * Monitor inventory levels and support restocking processes * Track and follow up on vendor returns and ensure credits are issued properly * Accounts Receivable Support: * Provide invoice backup, job documentation, and PODs upon request * Support the resolution of AR disputes and assist with aging report reviews * Training & Compliance: * Help coordinate technician training schedules and maintain training documentation * Support internal compliance initiatives and service documentation accuracy * Sales & Promotion Support: * Assist the Tire Operations Manager and Tire Customer Sales & Service Representative (TCSSR) in coordinating tire sales blitzes and promotional campaigns * Track results and customer engagement metrics from promotional efforts * General Administrative Support: * Maintain office supply inventories and reorder as needed * Support data entry, reporting, file management, and other general office functions as needed Qualifications * High School Diploma or GED required; Associate’s degree preferred. * 2+ years of administrative, operations support, or service coordination experience. * Familiarity with tires or heavy equipment service environments is a plus. * Strong organizational and time management skills. * Excellent communication and interpersonal skills. * Proficient with Microsoft Office Suite (Word, Excel, Outlook); experience with ERP or dispatch systems preferred. Typical Physical Activity and Environmental Conditions Physical Demands/Requirements consist of standing, walking, sitting, talking on the phone, occasionally lifting up to 25 lbs., stooping, typing, fine dexterity, hearing and speaking.
