JOB OVERVIEW:

The Title Company Liaison’s/AR Coordinator responsibilities include, but are not limited to, creating and insuring resale certificates are charged per the association documents and FirstService fee structure, completing questionnaires, uploading new community phases into the system and invoicing for the resales corporate accounts for all Texas markets. This position maintains a relationship with the accounting staff, title companies and property managers to ensure functional accuracy. The role will also be responsible for processing all change of ownerships and charging residents per association guidelines.

SKILLS & QUALIFICATIONS:

Education/Training:

  • High school diploma or equivalency. Preference will be given to applicants with 2 to 3 years’ experience in an office environment performing similar functions or tasks. Experience in Property Management industry a plus.Experience/Knowledge:
  • This position requires excellent organizational skills and strong attention to detail. The ability to prioritize workload and a sense of urgency is a must. Excellent math and communication skills required. Individual must have the ability to work independently and as part of a team. Position requires both flexibility and the ability to work on multiple tasks. Candidate must possess strong working knowledge of Microsoft Office.

Responsibilities
  • Preparing disclosure certificates in-house or through the WelcomeLink web interface (resale, refinance, modification, condo questionnaires) per title company and mortgage company requests.
  • Reviewing and updating association assessments and fees and management company fees across all data sources.
  • Analyzing and reviewing account notes and violations for disclosure certificate preparation.
  • Comparing title company requests to database ownership details, records, etc.
  • Communicating with title companies to ensure timely and accurate delivery of disclosure certificates.
  • Ensuring that all documentation and notices are included in each disclosure certificate package.
  • Working with property managers on the preparation of mortgage-lender questionnaires.
  • Working all WelcomeLink queues and escalations and issuing timely responses or trouble-shooting issues as deemed necessary.
  • Sending out periodic reminders to property managers regarding required updates to Connect and Welcomelink to maintain accurate and timely disclosure packages.
  • Maintaining daily logs, records, and forms as necessary.
  • Making all appropriate notations in the accounting systems pertaining to disclosure certificates processed.
  • Consistently adhering to all business procedures and guidelines.
  • Recording settlement of new unit owners per recorded deeds
  • Recording daily receipt of settlements on accounts receivable master list
  • Maintaining the highest level of customer care while demonstrating a friendly and cooperative attitude.
  • Performing other tasks and special projects as requested.
