ROLE SUMMARY

The Training Assistant is to provide clerical/administrative support to the training and development function. The Training Assistant plays a crucial role in scheduling and registration of training programs, sessions and learning events as well as in the maintenance of the Google Classroom modules. The assistant will prepare appropriate forms, learning materials, and maintain the training records of all staff, including communication to staff internally to ensure their completion and compliance of mandatory training. The Training Assistant reports to the Training Coordinator on tasks and projects and is accountable to and reports to the Human Resources Coordinator.
The Training Assistant is a Part-Time shared position between Home Base YK and the Foster Family Coalition.

DUTIES

  • Scheduling and Coordination: Organize training sessions, schedule participants, and ensure that training resources and facilities are available and in order. This includes scheduling accommodation etc. for come from away facilitators.
  • Training Program Materials Development: Under the direction of the Training Coordinator, the assistant will assist with developing programs and courses materials that align with organizational goals and objectives. These programs may cover a wide range of topics, including, but not limited to, job-specific skills, compliance, soft skills, and via both instructor-led format and virtually through Google Classroom.
  • Instructional Design Functions: Assisting to create or curate training content and materials, including presentations, e-learning modules in Google Classroom, micro training, training manuals, and other resources, to support training programming.
  • Training Delivery Tasks: Assist with the set up of training sessions including event planning, administrative supports like attendance sheets, advertising and communicating training. When necessary, help with co-facilitate training sessions, workshops, or webinars for employees with the training coordinator using a variety of means including, but not limited to, Google classroom, infographics and remote 3rd party training. This may involve instructing in-person or virtually, depending on the need and available resources.
  • Employee Engagement: Foster a culture of continuous learning and development within the organization to boost employee engagement and retention.
  • Administration of Evaluation and Feedback: Co-develop evaluation and assessment forms and any associated administrative tasks to help with assessing the effectiveness of training programs. Input questions into surveys for publishing and distributing, and organize the collected data for analysis by the training coordinator and human resources coordinator.
  • Administrative and Recording Tasks: Maintain accurate records of training activities, attendance, participant performance and certificates. Use of Google suites applications to track information in an efficient and effective manner, making information easily available and accessible. Assist with ensuring training invoices are completed and processed with Finance.
  • Compliance: Stay up-to-date with relevant Policies, laws, regulations, and industry standards to ensure that the training programs meet legal requirements and industry best practices.
  • Communication: Keep employees and managers informed about upcoming training opportunities, requirements, and expectations. Encourage participation and engagement. And alert employees to stay up to date with their training certifications.
  • Reporting: Provide routine and as required reports and updates on the status and effectiveness of training programs to management and stakeholders.
  • Collaboration: Collaborate with various departments, subject matter experts, and external training providers to ensure the success of training initiatives.
