Job Summary:
Since migrating our HR and Finance operations to the cloud-based Workday ERP platform in 2020, Langara College has built a strong foundation for ongoing digital transformation. The College is now entering an exciting phase as it modernizes its Student Information Systems (SIS), implementing a comprehensive suite of solutions, including Workday Student to enhance services, streamline operations, and support student success. This is a unique opportunity to contribute to a transformative initiative that will shape the future of Langara’s academic and administrative operations.
Reporting to the Manager, Organizational Change Management, the Training Specialist plays a key role in supporting learning activities essential for the successful adoption of the transformation initiatives by students, staff and academics. This position is responsible for the design, development, coordination, and implementation of learning activities that equip Operational Leaders to effectively prepare their teams in adopting updated processes, new ways of working and related technologies or solutions.
Training Specialist collaborates closely with Operational Leaders, Change Management Specialists, and other project team members, to build and coordinate learning resources. These resources focus on building process understanding, helping employees first understand what is changing and why, before learning how to perform the new tasks using the new solutions or technologies.
Key to this role is collaboration within a large, cross-functional team, understanding the people side of change, and the ability to use Microsoft Office tools to manage and coordinate training resources and activities. This non-teaching role supports delivery by operational leaders, focusing on process clarity and role understanding rather than just system use. This position is project-specific and limited to the adoption and readiness scope of the initiative. Upon completion, all resources and responsibilities will be handed over to operations for sustainment as this role does not manage long-term maintenance.

Duties & Responsibilities:
Learning Coordination:
- Plan and manage learning activities aligned with Initiative milestones to support Operational Leaders in driving successful adoption of updated processes and related solutions or technologies, by impacted audiences.
- Plan and manage learning readiness and learning plans for key project engagement deliverables, aligned with testing cycles such as User Acceptance Testing, Feedback Sessions, Mock Semesters, and other test cycles, in collaboration with the Testing and Business Analyst, Operational Leads, and Change Management Specialists.
- Collaborate with Operational Leads, Change Management Specialists, and other project team members to develop, validate and implement learning deliverables including but not limited to plans and materials.
- Coordinate scheduling, documentation, and logistics using in-house tools such as SharePoint and MS Office.
- Develop and manage specific learning engagement plans scope, schedule, deliverables, deadlines, milestones, and logistics in collaboration with the project team.
- Coordinate technical access and support with testing teams for learning in test environments.
- Develop or oversee the development of learning resources by instructing and reviewing tasks completed by junior team members.
- Provide guidance to junior team members involved in the development and support of learning resources.
- Collaborate with departments including but not limited to People & Culture, Education Technology, Strategic Communications and Marketing and Integrated Planning and Accountability.
- Serve as the central coordination point between operational leaders, change management specialists, and project team members for all learning-related activities.
Learning Design, Development & Implementation:
- Collaborate with Change Management Specialists and Operational Leads to identify training needs and skill gaps based on the future-state operating model and change impacts.
- Analyze learning requirements, audience, and environment to design targeted learning plans and resources that build the necessary knowledge, skills, and competencies for effective adoption.
- Design, develop, and implement learning plans and resources to help Operational Leaders guide their teams in learning updated processes and new systems while staying engaged throughout the transition.
- Map and design the end-to-end learning journey for impacted roles, ensuring a structured progression from understanding updated processes and new systems to confidently applying new skills.
- Work closely with Change Management Specialists and project teams, leveraging the ADKAR model to support building knowledge and ability for adoption.
- Develop clear, actionable, and role-specific learning resources that emphasize understanding updated business processes, followed by step-by-step task execution in new systems.
- Coordinate in-system help text and learning resources to ensure they reference each other accurately, enhancing user guidance and learning.
- Collaborate with Strategic Communications and Marketing to help define communication plans that support the learning plans.
- Participate in cross functional project teams to assist in developing training resources.
- Prepare and hand over training resources developed by the project to operational teams responsible for delivering and sustaining training to reinforce continued adoption of updated processes and new systems.
- Follow established training frameworks and tools provided by People and Culture, Educational Technology, and other relevant departments.
- Assess learning effectiveness through data and feedback and apply improvements to plans and resources.
- Perform other related duties/projects as assigned or requested.
Qualifications Required:
- Undergraduate degree in a relevant discipline. Bachelor’s degree in technology, education, communications, organizational development, or related field.
- A minimum of 5 years of experience: in design, development, coordination, and implementation of learning plans and resources, in a project environment.
- An equivalent combination of education and experience may be considered.
- Solid understanding of training planning, development, and delivery frameworks. Proven knowledge and continuous learning of organizational development and training discipline and best practices and demonstrated contributions to practice improvement.
- Solid understanding of Prosci ADKAR Model or other organizational change management methodologies.
- Solid understanding of process improvement.
- Knowledge of organizational training management principles, methodologies, and tools.
- Experience facilitating diverse groups to achieve a desired outcome.
- Ability to synthesize process information and support content structuring without formal instructional design tools.
- Strong coordination, planning, and documentation skills.
- Experience working with SharePoint and MS Office applications.
- Project experience or similar enterprise-level transformation work.
- Technical and non-technical project experience e.g. Systems implementation, Process Improvement.
- Thrives in lean environments by leveraging creativity and efficiency.
- Experience in writing effective technical documentation.
- Higher-education or public sector experience is an asset.
