Own the live transport operation during the shift, exercising the authority to make reasonable day-to-day operational decisions — reprioritising drops, reallocating resource, or amending routes — within agreed parameters.
- Liaise directly with front-line tanker drivers throughout the shift, providing route updates, delivery instructions and support as needed.
- Monitor delivery progress in real time against the planned schedule, tracking which drops are on time, running late, or at risk.
- Identify and resolve operational issues as they arise during the day vehicle delays, access problems, site issues, or driver queries keeping the shift moving with minimum disruption.
- Support the addition of extra deliveries into the day's schedule as required, working out where they can realistically be fitted in without compromising existing commitments.
- Keep drivers informed of any changes to their round promptly and clearly, so nobody is working from an out-of-date plan.
Compliance and record-keeping
- Always Keep local Operator’s Licence (O-Licence) records for the depot up to date and audit-ready.
- Maintain accurate tachograph and drivers' hours records, monitoring compliance with Working Time and Drivers' Hours regulations throughout the shift.
- Record and file vehicle defect reports and walk-round checks, escalating any that affect roadworthiness immediately.
- Maintain accurate delivery and proof-of-delivery (POD) records for the shift, ensuring paperwork is complete and correctly filed.
Driver debriefs and shift handover
- Be responsible for driver debriefs within the region reviewing each driver's day, capturing any issues, delays, near misses or vehicle faults, and logging them accurately.
- Feed debriefs information back into the planning process so recurring issues on a route or with a vehicle are picked up and addressed, not repeated day after day.
- Provide a clear, accurate handover to the next shift's Coordinator, so nothing gets lost between AM and PM cover.
- Flag any driver conduct, fatigue or wellbeing concerns arising from debriefs to the Regional Transport & Infrastructure Manager.
Planning and coordination support
- Support the Regional Planner with same-day route amendments where deliveries are added, delayed, or need reallocating between drivers.
- Coordinate cover for driver absence or sickness during the shift, working with the Senior Transport Coordinator to keep the day's deliveries on track.
- Operate within agreed resource and cost parameters during the shift, keeping overtime, agency cover and other avoidable additional transport costs to a minimum and flagging cost pressures to the Senior Transport Coordinator as they arise.
- Communicate proactively with Customer Services and the Internal Account team on delivery ETAs where a client has raised a query, so front-line teams aren't left chasing for an update.
- Support contingency planning during weather disruption, road closures or other events affecting the day's deliveries.
Health and safety
- Reinforce health and safety standards with drivers throughout the shift, including safe loading, PPE and site-specific requirements.
- Report and escalate any incidents, near misses or safety concerns immediately, in line with the depot's incident reporting process.
- Support toolbox talks and safety briefings as required.
What will you bring?
- Experience in a transport, logistics or distribution coordination role, ideally within a regulated or safety-critical environment.
- Familiarity with drivers' hours regulations, tachograph records and O-Licence compliance requirements.
- Experience liaising directly with drivers or field-based teams during live operations.
- Experience using transport management or routing systems is advantageous.
- Calm and decisive under pressure able to solve problems in real time without letting the rest of the shift slip.
- Clear communicator, able to give drivers concise, accurate instructions and keep other functions informed without unnecessary delay.
- Organised and accurate with compliance records and paperwork, even during a busy shift.
- Comfortable prioritising competing demands an added delivery, a vehicle issue and a driver query can all land at once, and this role needs to work through them methodically.
- Reliable and present for the full shift, drivers need to know the coordinator is there and reachable throughout the day.
- Practical problem-solver, focused on keeping deliveries moving rather than escalating everything upward.
- Honest and thorough in debriefs, willing to log issues accurately even when the answer isn't straightforward.
