Job Description: Transport Executive Position Overview The Transport Executive is responsible for managing and coordinating all transportation operations at the site level, ensuring efficient movement of personnel, materials, and equipment while maintaining compliance with safety standards and cost optimization. Key Responsibilities Transportation Operations Management Coordinate daily transportation schedules for employees, visitors, and materials to and from the site. Monitor vehicle utilization and optimize route planning to maximize efficiency and reduce operational costs. Maintain accurate records of vehicle movements, fuel consumption, and trip logs. Ensure timely availability of transportation for all site requirements including emergency situations. Fleet Management Oversee the maintenance and servicing of all site vehicles to ensure roadworthiness and compliance with regulatory requirements. Coordinate with vendors for vehicle repairs, servicing, and breakdowns. Monitor vehicle insurance, permits, licenses, and ensure all documentation remains current. Implement preventive maintenance schedules to minimize downtime. Vendor and Driver Management Manage relationships with transportation vendors and third-party logistics providers. Supervise and coordinate with drivers, ensuring adherence to company policies and traffic regulations. Conduct regular performance reviews of drivers and vendors. Address driver concerns and resolve operational issues promptly. Compliance and Safety Ensure all transportation activities comply with local traffic laws, safety regulations, and company policies. Conduct regular safety briefings for drivers and maintain safety records. Investigate and report any accidents or incidents involving site vehicles. Implement and monitor adherence to safety protocols during transportation operations. Cost Management and Reporting Track and manage transportation budgets, identifying opportunities for cost savings. Prepare regular reports on transportation expenses, vehicle utilization, and operational metrics. Analyze transportation data to identify trends and recommend process improvements. Process and verify vendor invoices for accuracy before approval. Administrative Duties Maintain comprehensive records of all transportation activities, contracts, and agreements. Coordinate parking arrangements and access control for site vehicles. Liaise with site management, security, and facilities teams to ensure smooth operations. Handle emergency transportation requirements and develop contingency plans. Required Qualifications Education Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or related field. Experience 3-5 years of experience in transportation management, fleet operations, or logistics coordination. Previous experience in site-based or facility management environment preferred. Demonstrated experience in vendor management and contract negotiation. Skills and Competencies Strong organizational and multitasking abilities with attention to detail. Excellent communication and interpersonal skills. Proficiency in MS Office Suite (Excel, Word, PowerPoint). Knowledge of transportation management systems and GPS tracking tools. Understanding of vehicle maintenance and fleet management principles. Ability to work under pressure and handle emergency situations effectively. Strong problem-solving and decision-making capabilities. Additional Requirements Valid driver's license. Knowledge of local traffic regulations and transportation laws. Familiarity with safety and compliance requirements. Ability to work flexible hours including weekends if required.
