Department Overview The Transportation Coordinator, working as a member of the interdisciplinary team, provides assistance and support to the Hospital system, Care Management & other areas with transportation needs focusing on access, capacity and throughput. This team member works directly with Mission Control, Care Management and external vendors to prioritize patients appropriately to keep patients moving. This position functions under the direct supervision of the Administrative Supervisor. Activities are related to discharge plan coordination, transportation, and general discharge support. Function/Duties of Position Transportation Coordination: Facilitate usage of dedicated medical transportation vehicles with contracted vendors. Work with Mission Control, Bed Flow Manager and other internal and external stakeholders to prioritize rides from high-capacity areas. Facilitate Hospital to Hospital procedural rides including organizations: HMC, AHP, CMH, Legacy, & PeaceHealth. Coordinate rides requested by other members in the organization – care management, ED, PACU, CEI, DCH, etc. Coordinate NICU parental rides to and from DCH Support HD and treatment transport post-acute as a bridge Facilitate transitional care community rides Troubleshoot ride delays and issues Document rides within the patient’s EMR Act as a liaison for OHSU staff w/ external transportation vendors and brokerages. Round with other team members to ensure ride needs are met. Be the resource for go-to for ride questions/issues/concerns Track any transportation data as needed. Maintain resource utilization within the Transportation Center w/ dedicated vehicles. Any additional tasks related to transportation/capacity throughput Other Duties as Assigned Required Qualifications Four years of general office or secretarial experience; OR An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR A Bachelor’s degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience. Additional certifications may be required based on the specific department the position resides in, as indicated by the position description. Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. Job Related Knowledge, Skills and Abilities (Competencies): Demonstrated excellent written and verbal communication skills. Experience working with patients and their families. Must be flexible, self-motivated, proficient at multitasking, accustomed to frequent interruptions, and comfortable with change. Must be knowledgeable in medical and insurance terminology and procedures, and patient discharge process. Familiarity with insurance UR and disability qualifications. Must have time management skills with competing priorities. Requires knowledge of Microsoft Office Excel, Word, PowerPoint, and Outlook. Preferred Qualifications Discharge planning Care Coordination Experience working in a medical office setting. Experience working in a high-volume setting. Additional Details This position may require staff to be able to commute onsite a minimum of 60% of the time or more. Staff may be sitting at their desk up to 80% of the time Staff may be required to walk around the hospital up to 20% of the time This position may be located on patient units and requires direct patient interaction in their room. This position may be exposed to contact precautions Requires prioritization. Frequent interruptions in an environment of frequent change and fluctuations. For inpatient units accepts accountability and responsibility. Subject to computer work for several hours, as needed. Able to utilize office equipment within work area.
