Job Summary: The Trauma Registry Information Specialist provides advanced administrative and data management support to the Trauma Program. This position is responsible for collecting, abstracting, entering, validating, and analyzing clinical data related to trauma patients in compliance with the American College of Surgeons (ACS) Trauma Quality Improvement Program (TQIP), American Burn Association (ABA), state and agency requirements, and hospital policies. The role ensures the accuracy, completeness, timeliness, and confidentiality of data used for performance improvement (PI), benchmarking, education, research, and trauma center verification. The incumbent collaborates with internal stakeholders to resolve data discrepancies, maintain auditability of submissions, and support organizational decision-making where registry outputs have administrative and financial impact, while handling sensitive information with discretion. Duties and Responsibilities: Data Management & Registry Maintenance Collect, review, and validate trauma-related data from clinical documentation and other approved sources in accordance with ACS, state, and institutional standards. Enter and maintain accurate, complete records within the trauma registry and related systems. Perform internal audits and support external validation to ensure data integrity and compliance with submission standards. Submit data to NTDB, TQIP, ABA, and state trauma systems within required timeframes; monitor and resolve edit/exception items. Reporting & Program Support Prepare routine and ad hoc reports, statistics, and summaries to support PI, benchmarking, leadership review, and other administrative needs. Provide registry outputs and follow-up information for case reviews and quality discussions; track related action items through closure as directed. Support organizational analyses and planning activities that rely on registry data and may have financial impact, consistent with program priorities and policies. Assist in maintaining documentation and evidence required for verification and other assessments. Compliance, Education & Confidentiality Maintain current knowledge of ACS NTDS data dictionary and applicable coding/injury scoring conventions (e.g., ICD-10-CM/PCS, AIS/ISS/TRISS). Offer targeted education/feedback on documentation quality and data definitions to support accurate abstraction. Safeguard protected health information and sensitive records, ensuring strict confidentiality and adherence to organizational policies. Collaboration Coordinate with appropriate internal and external parties, as needed, to obtain information necessary for complete and accurate records (e.g., EMS or other agencies consistent with current practices). Participate in multidisciplinary meetings and workgroups related to trauma data, quality assessment, and registry operations. Required Qualifications: Experience Minimum of two (2) years of experience in trauma registry, clinical data management, health information, or hospital quality improvement. Knowledge of trauma workflows, ICD-10 coding, and clinical documentation systems strongly preferred. Education Bachelor's degree in Nursing, Health Information Management, or a related field strongly preferred. Skill Ability to analyze, organize and prioritize work accurately while meeting multiple deadlines. Ability to communicate effectively in both oral and written form. Ability to handle difficult and stressful situations with critical thinking and professional composure. Ability to understand and follow instructions. Knowledge and skill in use of job appropriate technology and software applications. Must meet and maintain current all unit specific and organizational skills/competencies, certifications/licensures, as required by the nursing area. Credentials Valid Florida Registered Nurse (RN) OR Licensed Practical Nurse (LPN) license required; formal training in Health Information Management (ART) strongly preferred.
