Kevin Smith Transportation Group (KSTG), the Philadelphia region’s leading luxury transportation provider, is hiring a Reservationist to help plan and book first-class ground transportation experiences for a wide variety of clients. What You’ll Do As a Reservationist, you’ll work directly with clients, travel planners, event coordinators, and corporate partners to book transportation that meets each client’s unique needs. This is a perfect role for someone who understands how to craft seamless travel experiences from beginning to end. Key Responsibilities: Manage incoming and outgoing calls and emails to book and confirm transportation services Assist clients in booking a variety of services, including: Airport transfers, Corporate transportation, Proms and formal occasions, Group shuttles and concerts, Hourly charters and point-to-point rides. Provide clients with tailored vehicle recommendations based on party size, occasion, and preferences Offer real-time quotes and check availability using internal systems and scheduling software Prepare detailed trip itineraries and confirmations for clients and internal teams Process payments Communicate clearly and efficiently with chauffeurs, dispatchers, and the scheduling team to ensure seamless execution Cross train on basic dispatch procedures, including but not limited to, monitoring driver check-ins, assigning short notice bookings, and communicating reservation changes to drivers. Handle last-minute changes or issues with a calm, solutions-focused attitude Follow up with clients and leads to encourage repeat business and referrals Maintain detailed records of interactions and reservations in our CRM system Other duties and/or responsibilities as assigned. Qualifications Required Qualifications: Hospitality, hotel, event, or customer-focused sales experience Strong sales instincts with the ability to upsell naturally and confidently Excellent phone presence and communication skills High attention to detail Ability to thrive in a fast-paced, high-expectation environment Strong organizational and time management skills Professional demeanor and polished presentation Tech-comfortable and quick to learn systems Reliable, punctual, and accountable Preferred Qualifications: Experience with weddings, venues, or event planning Background in travel, concierge, or luxury services Prior work in transportation, limo, or logistics environments Dispatch or logistics coordination experience Familiarity with DOT-regulated or safety-sensitive environments Work Environment & Physical Demands: Ability to sit for extended periods of time. Ability to use general office equipment – computers, phone systems, printer/copier. Must be able to move about the office to perform duties, reach overhead, bend, push, pull and lift up to 25 lbs.
